Workshop

Booking jobs in, the board, clocking, parts, QC, handover and courtesy cars.

  • Create and book a workshop job — Make a job with + New Job, from an accepted quote or sales order, or from a booking request; then give it a date, a bay and a technician so it is Booked.
  • Booking requests from your online booking page — Customers request a service from your public booking page (or the website chat). Confirm the request, then Check in makes the workshop job when the car arrives.
  • Scheduling and the workshop board — The Jobs page shows every job three ways: a board by status, a calendar by bay or technician, and a list. Plan who does what and when, with capacity, absences and trading hours in view.
  • Build tracker: a live link the customer follows the build on — Send the customer one link that shows where their build is up to, from parts ordered to collection, with the progress photos you share.
  • Run a job from booking to invoice — Six stages — Draft → Booked → In progress → Ready → Delivered → Closed — moved with one button. Holds are labels, not stages. This is the map; each step has its own guide.
  • Check a vehicle in — Before work starts, record how the car arrived: photos all round, existing damage, odometer and fuel, the check-in checklist and any signatures.
  • Parts on a job — The Parts tab tracks every part a job needs: held for it, picked off the shelf and fitted. Order what's short from there. Stock leaves at hand-over, from the job's invoice.
  • Labour clocking and job costing — Technicians start, pause and finish each labour line on the Work tab. The Time tab is for clocking others on, fixing mistakes, manual time and the costing.
  • Holds: say why work has stopped — A stopped job stays In progress and wears a hold reason. Press Hold…, pick why, and clear it when work resumes.
  • External services: wheel alignments, paint and other contracted work — Sell work an outside contractor does, book it with a purchase order that carries drop-off and pick-up dates, and keep it in step with the workshop booking.
  • QC and handover checks — Check the work line by line on 1 · QC, then document the handover with photos and signatures on 2 · Delivery, and mark the job ready.
  • Tell the customer the job's ready — One message with photos of the finished work, the invoice and a way to pay, plus suggestions. Review it, then send by SMS, email or both.
  • Invoice, hand over and close a job — Raise the invoice from the job, take payment, hand the car over and close the job. Handing over is what takes the parts out of stock.
  • Share build progress with the customer — Post progress with photos while a job is under way. Share an update and it appears on the job in the customer's portal; tick Email the customer to tell them.
  • Customise the Check-In, QC and Delivery checklists — Edit the lists techs fill in on every job: sections, answer types, required photos or notes, signatures, what blocks a pass, and per-job-type variants.
  • Digital inspections — Structured vehicle checks with photos, captured on any device, shared with the customer, and turned into a priced quote from the findings.
  • Canned jobs: your standard services — Reusable labour and parts bundles. Insert one into a quote, add one straight onto a job, and publish them on your online booking page.
  • Service due: who to call next — Every vehicle with a service history, with the date it's next due, worked out from its own rhythm or kilometres. Call the ones due soon; send reminders automatically from Marketing.
  • Courtesy (loaner) cars — Track who has each loan car, sign the loan agreement, record fuel, odometer and damage out and back, and see it on the job.
  • Live floor and TV mode — Who is clocked onto which job and line right now, who is on shift with no job, what's up next and what's ready for pickup. TV mode puts it on a wall screen.
  • The technician phone view — My Workshop on a phone: your jobs today, a clock on each line, the job's next step and quick holds. Works with no signal and syncs later.
  • Workshop settings: labour rates, job types, technicians, hours — Everything under Settings → Workshop: bays, work centres, technicians and their hours and rates, default labour rates and pace, trading hours and holidays, job types, checklists, board labels, the default service interval and the courtesy car agreement.
  • Tasks — To-dos that aren't workshop jobs: call-backs, follow-ups, admin. Assign them to anyone, link them to a customer, job or document, and track them on My Tasks, Team Tasks and Overview.
