Build tracker: a live link the customer follows the build on
Send the customer one link that shows where their build is up to, from parts ordered to collection, with the progress photos you share.
Where it is
- Workshop → Jobs — Open a job: ⋯ → Share build tracker
Every job has one tracker link. The customer opens it on their phone without logging in and sees where the build is up to.
Share it
On a job, ⋯ → Share build tracker. The link is made the first time and stays the same for the life of the job.
- Copy or Open the short link.
- Text or Email it to the job's customer, optionally starting with a line such as "Your parts have arrived." It's a service message about their job, so it doesn't need marketing consent; customers who replied STOP or whose email bounced are still skipped.
What the customer sees
- The vehicle (year, make and model only) and where the job is: booked in, in progress, waiting on parts (with the expected date), with a specialist, ready, collected.
- The steps so far and what's next: quote accepted, deposit paid, parts ordered and arrived, booked in, checked in, work under way, each stage of a multi-day build, specialist work, GVM upgrade certified, quality check, weighed, ready, collected. Steps that don't apply to this job are left out.
- The updates you share with the customer from the job (with their photos).
- Once you've sent Notify customer — ready, a button to the finished-work page and payment.
- Call and email buttons for your business.
The page refreshes itself every couple of minutes. It never shows prices or the rego, because a link gets forwarded. It stops working 30 days after the vehicle is collected.
Share my rig
Once the job is Ready, the tracker adds Share your rig. The customer picks one of the photos taken under Marketing at delivery (or their own), chooses Post or Story, and gets a card with your logo, "Built by" your business, the vehicle, the main parts fitted, your Instagram handle and a small "Built with BuildTrack Pro" badge. Share my rig opens the phone's share sheet (Instagram, Facebook, TikTok, WhatsApp); on a computer it downloads. The caption, with your handle and hashtag, is copied for them to paste. Nothing is uploaded; the card is made on their phone.
Set the handle and hashtag in Settings → Branding → Social Accounts. Without an Instagram handle there, the account connected to your Inbox is used. Staff can make the same card for your own socials from Share build tracker → Make one for your own socials.
Text it automatically
Settings → Workshop → Build tracker → Text the customer automatically, then tick the steps: Booked in, Parts arrived, Work under way, GVM upgrade certified, Ready to collect (booked, parts and ready are ticked to start with). Each step is texted once per job, between 7am and 8pm your time, and only for jobs that reach it after you switch this on. Ready to collect waits 30 minutes and is skipped if you send Notify customer — ready in that time. Customers without a mobile get an email.
Photo updates from the floor
On a phone, Workshop → open a job's card → 📷 Photo update: take one or more photos, add a line ("Bar and winch fitted") and Post update. With Show the customer ticked (the default) it appears on their tracker and in the customer portal; untick it to keep it for staff.
Where the steps come from
Status changes, holds and parts arriving are recorded as they happen. A GVM upgrade or Weighbridge reading filed on the vehicle's Compliance & approvals against the job shows as its own step.
