Labour clocking and job costing
Technicians start, pause and finish each labour line on the Work tab. The Time tab is for clocking others on, fixing mistakes, manual time and the costing.
Where it is
- Workshop → Jobs — Open the job: Work tab to clock lines, Time tab for the rest
- Workshop → Live floor — Who is clocked on right now
- Reporting → Workshop hours — Sold vs clocked vs paid hours
Settings for this
- Settings → Workshop → Labour & pace — Default cost and charge rates, auto-stop timer, pace alerts
- Settings → Workshop → Technicians — Each technician's own cost and charge rate
- Settings → Roles — Manage technicians' time; See others' labour rates
On the Work tab: your own lines
Every labour line has its own clock for the person signed in.
- Start begins your time on that line (and stops any other line you were on).
- Pause stops the clock; the line stays open.
- Finish ✓ stops the clock and ticks the line done.
- Switch here moves your running clock to this line.
Ticking the box at the start of a line marks it done without touching the clock. A finished line earns its whole estimate for the job's pace, however fast it was done.
On the Time tab: everything else
- + Clock on… beside a task (or + Clock on (general)) starts someone's clock; Stop stops it.
- + Manual entry adds time after the fact: the Task, Technician, Start and Stop times, the Type (Productive, Non-productive, Rework, Travel) and Notes.
- Time Entries lists every entry; fix a forgotten clock-off there.
- The summary shows Estimated, Actual, Labour Cost, Contractor Cost (for external services) and Billable, with the margin.
If nobody clocked any time, finishing the job asks first: Add time or Finish anyway.
Rates
A time entry takes the technician's own rate (Settings → Workshop → Technicians → Edit → Cost Rate and Charge Rate), or the business default in Labour & pace. Rates are captured when someone clocks on, so changing them later doesn't alter past time.
✨ AI estimate under Hours & Costing suggests hours from your completed jobs.
Settings that change this
- Labour & pace: Default Cost Rate, Default Charge Rate (ex GST), Target Gross Profit $/hr; Auto-stop a technician's running timer when they clock onto another task (on by default); Standard Day (8 hours), Amber at (10% behind) and Red at (25% behind) for the pace alerts.
- Per technician rates in Technicians.
Who can do it
- Anyone can clock their own time. Clocking, editing or deleting someone else's needs Manage technicians' time.
- Costs and rates show only with See others' labour rates (your own rate is always visible); the margin needs See profit & margin %. Technician roles see hours, not money.
For attendance (clocking on for the day, not onto a job), see Time clock and the Clocking on course.
