1. Two clocks: your shift and your jobs
BuildTrack keeps two clocks. Your shift says you were at work and pays you; your job time says what you worked on and costs the job. Start here.
Where it is
- My time — Avatar menu → My time: your shift clock and hours
- Home (the Clock card) — Shift clock, your job timer, and My week →
- Service → Workshop → Jobs — The job clock lives on each job’s Work tab
Who this is for: everyone who works hours here: technicians, apprentices, the counter, the warehouse, the office, contractors and labour hire. Lessons 6 and 7 are for managers.
BuildTrack has two clocks. They measure different things, and most people in the workshop use both every day.
The two clocks
| The shift clock | The job clock | |
|---|---|---|
| What it records | When you're at work: on when you arrive, off when you leave | Which job, and which line on it, you're working on |
| Who uses it | Everyone on hours, with a login or without one | Whoever works on jobs |
| Where you use it | The time clock tablet, My time, or the Clock card on Home | A job's Work tab, My Workshop on your phone, or a job's Time tab |
| What it feeds | Timesheets, and from them payroll | Job costing, quoted against actual hours, the Live floor and the workshop reports |
| Who checks it | You confirm your week; a manager approves it | The job shows clocked hours against its estimate |
Why both
- Payroll comes from shifts. Your hours for pay are your approved shifts, sorted into ordinary time, overtime and so on. Job time never goes to payroll.
- Job costing comes from job time. What a job really took, and whether it ran over its quote, comes from the time clocked onto it. Shift time never lands on a job.
- Together they give productive %: job minutes ÷ shift minutes. Eight hours on shift with six on jobs is 75%. The Clock card on Home shows yours for the week, under My week →.
Nothing forces one before the other
- You can clock onto a job without being on shift, and clocking on for your shift doesn't start a job timer. Do both.
- Clocking off your shift doesn't stop a job timer. Pause or finish your line first (lesson 4), then clock off.
- If you never work on jobs, you only use the shift clock.
- People without a login, such as most contractors and labour hire, clock their shift at the tablet. Job time can only be clocked for people with a login.
Where it ends
- Shifts: you confirm your week, a manager approves it, and it's locked once payroll has the hours (lessons 3 and 6).
- Job time: it stays on the job's costing, and shows in Reporting › Workshop hours next to the shift hours (lesson 7).
