Booking requests from your online booking page

Customers request a service from your public booking page (or the website chat). Confirm the request, then Check in makes the workshop job when the car arrives.

Where it is

Settings for this

Every business with the Workshop module gets a public booking page. Its link is at the top of Workshop → Booking requests under Your public booking page, with Copy link and Open. Put it on your website, socials and email signature.

What the customer does

They give their name, phone, email, rego, make and model, pick the kind of service (Logbook service, General service, Inspection, Repair or other), choose one of your published services if you have any, pick a day and time from your open slots (or a preferred date and time), add notes and send the request. The website chat's AI receptionist can make the same request.

It's a request, not a booking. Nothing is on the board yet.

The page

  • Across the top: Waiting on you (unconfirmed requests), In today, On the driveway (checked in, job open) and Confirmed ahead.
  • Filters: All, Requests, Confirmed, On the driveway, Completed, Cancelled, and a search by name, phone or rego.

Step by step

  1. Confirm a request once the day works. BuildTrack finds the customer by email or phone (or adds them) and, if Customer Messaging is connected, sends a booking confirmation. If it isn't connected, it says no message was sent, so ring them.
  2. When the car arrives, press Check in. It makes the workshop job and opens it:
  • type Service, titled with the service and the customer's name;
  • the customer, and the vehicle (found by rego, or added);
  • their notes and requested time in the description;
  • booked for the requested day and time (a picked time is kept; "morning" or "any" starts at 9 am, "afternoon" at 1 pm), or a Draft if they gave no day;
  • estimated hours by service: Logbook 3, General 2, Inspection 1, Repair 2, other 2.
  1. The request moves to On the driveway and shows Open job. Carry on with the check-in.
  2. Not coming? Cancel. The customer isn't told automatically.

A checked-in booking has no sales order: put its parts and labour on the job itself, and Raise invoice builds the invoice from them. See Invoice, hand over and close.

Settings that change this

If something's not right

  • Confirmed but "No message was sent". Connect Customer Messaging, then ring the customer this time.
  • Check in did nothing new. A booking only ever makes one job. Pressing it again opens the job it already made.
  • Need a time link for a meeting, not a car? That's a calendar booking link: see Booking links.
