Invoice, hand over and close a job
Raise the invoice from the job, take payment, hand the car over and close the job. Handing over is what takes the parts out of stock.
Where it is
- Workshop → Jobs — Open a Ready job
Settings for this
- Settings → Quotes & invoices — Invoice numbering, terms and payment details
- Settings → Workshop → Labour & pace — Default charge rate used on a job with no sales order
Step by step
- Raise invoice. On a Ready job with no invoice, the green Raise invoice button at the top makes it (from the job's sales order, or from the job's own parts and labour when it has none) and opens it. Check it and Approve Invoice.
- Get paid through the ready link, or on the invoice with Record Payment. Back on the job the button reads View invoice, with "· owing" while there's a balance.
- Hand over when the customer collects (or Mark Delivered ✓ on the Delivery step). The job is Delivered.
- Close job. It moves to Done on the board.
What happens by itself
On Hand over (or Close job, if you skipped it) the parts come out of stock from the job's invoice, the invoice is marked as gone with the car, and the sales order completes.
A job with no sales order
Raise invoice makes a draft from the job itself: parts at their sell price, clocked labour at each technician's charge rate (or the default in Labour & pace). Check the prices before you approve.
If something's not right
- Raise it from the job, not the Invoices page. An invoice made on the Invoices page isn't linked, so handing over can't find it and the parts stay on the shelf.
- Hand over from the job, not the invoice. Marking the invoice delivered doesn't take the parts out.
- No Raise invoice button. The work isn't finished yet, there's already an invoice (View invoice), or your role lacks Create invoices.
- Closed by mistake? ⋯ → Reopen job puts it back to In progress.
- "No time clocked on this job". BuildTrack asks before finishing: Add time or Finish anyway.
