Courtesy (loaner) cars
Track who has each loan car, sign the loan agreement, record fuel, odometer and damage out and back, and see it on the job.
Where it is
Settings for this
- Settings → Workshop → Courtesy cars — The loan agreement customers sign
Workshop → Courtesy Cars shows each car as Available, Out or Overdue.
Add a car (once)
+ Add vehicle: Name (e.g. "Silver Corolla"), Rego, Make, Model. Remove takes it out of the fleet (not while it's out).
Lend one
- On an Available car, press Issue.
- Choose the Customer, and the Job if it's for one (the list shows that customer's open jobs; pick the job first and the customer fills in).
- Set Due back, Odometer out and Fuel out.
- Record their Licence number and Licence expiry (it warns if the licence has expired), and any Existing damage.
- Under Agreement, the customer reads the loan terms and signs ("Customer signs to accept"). Re-sign clears it.
- Press Issue vehicle.
A car issued against a job shows on the job's right panel under Courtesy car, with its due-back time (red once overdue).
When it comes back
Mark returned (on Courtesy Cars or on the job). Enter the Odometer in, Fuel in and any New damage. It warns if the fuel is lower or the odometer reads less than when it went out. The car's odometer is updated, and it's Available again.
Leave Job empty for a loan that isn't for a job.
Your own loan agreement
Customers sign BuildTrack's standard terms until you write your own. Agreement terms on Courtesy Cars opens Settings → Workshop → Courtesy cars: edit the Agreement text (one point per line) and Save. Reset to default goes back to the standard terms. Each loan keeps the wording it was signed under, so a change applies from the next car you lend.
