10. Courtesy cars and comebacks

Lend a car against a job and see it on the job until it’s back. When a car returns with the same fault, record it as a comeback.

Where it is

Who this is for: service advisers and workshop managers.

Courtesy cars

Where to find them

Sidebar Service › Workshop, tab Courtesy Cars. Each car shows Available (green), Out (amber) or Overdue (red).

Adding a car (once)

Press + Add vehicle. Type the Name (such as "Silver Corolla"), the Rego, Make and Model, and press Add. Remove on a car takes it out of the fleet (not while it's out with someone).

Lending one

  1. On an Available car, press Issue.
  2. Choose the Customer.
  3. Choose the Job: the list shows that customer's open jobs (anything not yet delivered, closed or cancelled). Pick the job first and the customer fills itself in.
  4. Set Due back, the Odometer out and Fuel out.
  5. Type their Licence number and Licence expiry (it warns if the licence has expired), and any Existing damage.
  6. Under Agreement, the customer reads the loan terms and signs on the screen. Re-sign clears it.
  7. Press Issue vehicle.

The car now reads Out, "With" the customer, with a link to the job and its Due back time. It goes red, Overdue, once that time passes.

On the job

A car issued against a job shows on the job page too. In the right panel, the Courtesy car card shows the car's name and rego and "Due back" with the date, or "Overdue: was due" in red. On a phone, it's on the Details tab.

When it comes back

Press Mark returned, either on the car on Courtesy Cars or on the job's Courtesy car card. Type the Odometer in, choose the Fuel in and note any New damage; it warns if the fuel is lower or the odometer reads less than when it went out. Confirm with Mark returned. The car is Available again, its odometer is updated, and the card leaves the job.

Leave Job empty for a loan that isn't for a job. It's tracked on Courtesy Cars just the same, but won't show on any job.

Comebacks

A comeback is the same car back for the same fault. It's the quality number a workshop is judged on, so record it honestly.

  1. Make the new job as usual (lesson 2).
  2. On the new job's left panel, open Details. Under Comeback, paste the original job number and click away. The job shows a red Comeback pill and View original job, and What came back? for a short note. Clear undoes it.
  3. BuildTrack also puts the Comeback label on its board card (if it had no label), and switches Charged to to Rework if it was charged to the customer. If a warranty covers it, or the customer is paying after all, change Charged to.

Comebacks are counted in the Comeback rate under Reporting › Workshop.

Warranty claims

If the vehicle has a warranty recorded, More › Raise warranty claim on the job (on a phone, the ⋯ menu) opens Raise warranty claim. Choose the Warranty, add the Claim reference, the Claimed $ and any Notes, and press Raise claim. The option only appears when the vehicle carries a warranty.

Where it ends

Every courtesy car is back and Available, and every comeback is recorded against the job it came back from. That's the end of the course: next, the quiz.
