1. The workshop board: every job, one place
Every job sits on the Workshop board under its status. Learn the six statuses, the one button that moves a job on, and how a hold says why work has stopped.
Where it is
Settings for this
- Settings → Workshop → Board labels — Hold reasons and card labels
Who this is for: everyone in the workshop: service advisers, workshop managers and technicians.
Where to find it
Sidebar Service › Workshop. The tabs across the top are Jobs, Live floor, Service due, Booking requests, Inspections, Canned Jobs and Courtesy Cars. Most of this course happens on Jobs and on the job page itself.
Three ways to look at the same jobs
On Jobs, the switch at the top right reads Board, Calendar and List.
- Board: one column per status. Each column is ordered soonest-due first. Drag a card to another column to move the job.
- Calendar: the bookings by bay or by technician. Lesson 2 covers it.
- List: one row per job. Click a column heading to sort by it.
Click a card or row for a quick look. Go to Job opens the full job page.
On a phone, Jobs is a list grouped into Overdue, Today, Tomorrow, This week, Later and Not yet scheduled, and Technician View opens the phone screen for technicians.
The statuses
Every job climbs the same ladder: Draft → Booked → In progress → Ready → Delivered → Closed. Cancelled sits off to the side.
| Status | What it means | How it gets there |
|---|---|---|
| Draft | Made, but not booked in | + New Job, or made for you from a quote or sales order |
| Booked | Has a date in the workshop | Give it a Scheduled Start, or drag it onto the calendar |
| In progress | Work has started | Start work |
| Ready | The work is finished and checked; the car is waiting for the customer | Mark ready |
| Delivered | The customer has the vehicle | Hand over |
| Closed | Finished and filed | Close job |
| Cancelled | Not going ahead | Cancel job (only from Draft, Booked or In progress) |
On the board, Draft, Booked, In progress and Ready are columns. Delivered, Closed and Cancelled fold into Done at the end; click it to open it.
One button moves the job on
At the top of every job is its status and one orange button: the next step. It reads Start work, Mark ready, Hand over or Close job. That is the normal way forward.
A job moves one step at a time. If you drag a card further than that (say Draft straight to Ready), it jumps back and BuildTrack says why it couldn't move.
The small ⋯ beside it (Other moves) holds the moves off the usual path, such as Back to booked, Move to booked, Cancel job, Reopen job and Reinstate as draft. Lesson 9 covers them.
Holds: work has stopped, and why
A job that has stopped is not a separate status. It stays In progress and wears a coloured hold reason:
- Waiting on parts
- Awaiting approval
- Waiting on customer
- On hold
- In QC
On an In progress job, press Hold… and pick the reason under "Why has work stopped?". The button then reads On hold, and the reason shows beside the status on the job and on its board card. Lesson 6 covers holds in full.
What a card tells you
- The job number, its type and any label, and its priority (Low, Medium, High or Urgent).
- The title, the vehicle and the customer.
- A progress bar: hours done against the estimate, or tasks done.
- A pace pill in amber or red when the job is falling behind, and a parts pill (Parts missing, Parts partial or Parts ready).
- The technicians' initials, the bay and the estimated hours.
- When it is due. "Due Thu 3:30 pm" is the time promised to the customer, and it turns red once that time has passed.
The tag icon on a card adds a label. Comeback and Sublet out are labels too, but they are not holds.
Live floor
The Live floor tab shows the workshop as it is right now: On the clock (who is on which job and line, and for how long), Jobs in the workshop, On shift, no job, Up next today and Ready for pickup. It refreshes itself. TV mode shows it full screen for a TV on the wall, and no costs or rates appear on it.
Where it ends
A closed job leaves the open columns and sits under Done.
