Tasks

To-dos that aren't workshop jobs: call-backs, follow-ups, admin. Assign them to anyone, link them to a customer, job or document, and track them on My Tasks, Team Tasks and Overview.

Where it is

Settings for this

Tasks (sidebar, under Team) is the to-do list for everything that isn't a workshop job. A workshop job's own lines are on its Work tab, not here.

Make a task

  1. New Task on My Tasks or Team Tasks.
  2. Task Title, Description, Type (Task, Call, Email, Follow-up, Meeting, Reminder, QA Check, Admin) and Priority.
  3. Assign To a team member, and a Due Date.
  4. Link To (optional): a Contact, Company, Deal, Quote, Invoice, Vehicle or Workshop Job, then search for it.
  5. Create Task.

My Tasks

Your tasks grouped Overdue, Due Today, Tomorrow, This Week, Upcoming, No Due Date and Completed. Tick to Mark complete (or reopen). Click a task to open it: change status, priority, assignee or due date, edit the description, and add notes under Activity. An escalated task shows a red Escalated pill.

Team Tasks

Every task across the business. Filter by assignee, status, priority, type and due dates; switch Table or Grouped (by assignee, priority or status). Tick several to Set status, Assign to… or Unassign them at once.

Overview

Open, overdue, urgent and completed counts, the completion rate, Tasks by Status, Open by Priority, Workload by Assignee and Stale Tasks (no activity in 14+ days). Longer-term numbers are on Reporting → Tasks.

Who can do it

Settings → Roles, Tasks group: View tasks for My Tasks; Assign tasks to others for Team Tasks and Overview; plus create, edit and delete. Tasks with a due date also show on the calendar.
