The company calendar

One calendar for meetings, workshop jobs, to-dos, leave, closures and customer bookings, with a view for every job: day, week, month, people, team week, rooms and agenda.

Where it is

Settings for this

Calendar (sidebar, under Home) shows everything that fills a working day. Each item is drawn from the module that owns it, so nothing is copied and nothing drifts.

Layers (the left rail)

Tick a layer on or off; your choice is remembered.

You only see the layers your role allows: no workshop permission, no Workshop jobs layer.

Views

Day, Week, Month, People (one row per person for a day), Team week (people down the side, the week across), Rooms & vehicles (only once you have some, see Rooms & vehicles) and Agenda (a list). Phones always open on Agenda.

Finding your way

  • ‹ › move back and forward; the date label shows where you are.
  • People filter (left rail; Filters on a phone): Everyone or Just me, a department, or a tick per person. It limits every view and the rows of People and Team week. Anything shop-wide, such as a closure, still shows.
  • Search (top right, or press /): type part of a title and pick a result to jump to it.
  • ⋯ menu: Print this view (A4 landscape, without the controls) and Export to CSV (what's on screen, after filters).

Adding and moving things

  1. New event, or click and drag on the grid, or press C. See Meetings and events.
  2. Add with AI: type something like "Photoshoot of the white Hilux Friday 2pm with Sam in the photo bay" in the box under the toolbar and press Draft it. It fills in a draft for you to check before you save.
  3. Drag an event you can edit to move it, or drag its bottom edge to change the length. On People or Team week, drag it to someone else's row to swap who's on it. A repeating event asks This event / This and following / All events. Undo shows for eight seconds. On a phone or tablet, hold a moment before dragging, so a swipe still scrolls.
  4. Jobs, leave, to-dos, bookings and closures can't be dragged here: click them and they open in their own module.

Keyboard shortcuts

D day · W week · M month · A agenda · X team week · 1–9 jump to the view tabs in order · T today · J or N next · K or P previous · / search · C new event · S or ? settings. Switch them off in the gear's Keyboard shortcuts.

Settings that change this

The gear (top right) holds your own calendar settings; nobody else's change:

  • Open the calendar on: the view it opens on. Switching views updates it, so the calendar reopens where you left it.
  • Density, Show weekends, Show week numbers, Fade past events, Show completed to-dos, Colour events by person.
  • Week starts on, Visible hours (with Working day (7–7) and Whole day shortcuts), Time format, Default event length.

Business-wide settings live elsewhere: permissions in Settings → Team → Roles, departments in Settings → Team → Departments, shop hours and holidays in Settings → Workshop → Trading Hours (see Trading hours and public holidays).

Home cards

On Home, What's next lists your meetings and dated to-dos for two days, Who's out shows leave for two weeks, and Team pulse shows who's on a job, in a meeting or away right now. Add them with Customise on Home.

If something's not right

  • No New event button? Your role doesn't have Create events and invite people.
  • A layer is missing? It needs a permission (Workshop jobs needs workshop access, To-dos needs tasks, Campaigns needs marketing), or it's switched off in the rail.
  • "Couldn't load … some items may be missing" means one layer failed to load. Refresh; the rest of the calendar is still right.
  • Times look an hour out? Events show in your device's time zone. The editor says which zone it's using.
