Calendar & people
The calendar, booking links, leave, the time clock, timesheets and rosters.
- The company calendar — One calendar for meetings, workshop jobs, to-dos, leave, closures and customer bookings, with a view for every job: day, week, month, people, team week, rooms and agenda.
- Meetings and events: repeats, invites, rooms, links to jobs and customers — Create an event, repeat it, invite colleagues, book a room or vehicle, remind people, and tie it to the customer, deal, job or vehicle it is about.
- Rooms & vehicles: book bays, demo cars and equipment — Add the shared things people book onto meetings and shoots (a meeting room, the photo bay, a demo ute, the drone) so nobody can book them twice at once.
- Booking links: let customers pick a time — A public page where customers book time with you or your team, and a quick way to send one person a link with suggested times. Bookings land in the calendar, on the customer’s timeline and in their portal.
- Google and Outlook: busy time in, your calendar out — Connect your work Google or Outlook calendar so its busy time blocks booking links and Find a time, and subscribe to your BuildTrack calendar from your phone.
- Leave: time off requests, approvals and who is away — Staff request leave and their manager or a leave approver decides. Approved leave shows on the calendar, blocks bookings and leaves workshop capacity. Colleagues see who is away, never why.
- Time clock: clocking on at the tablet, on your phone or on Home — How people clock their shifts: a tablet by the door with a PIN or badge, My time on their own phone, or the Clock card on Home. All three feed the same timesheet.
- My time: your clock, hours, roster, leave and PIN — Everything about your own time in one place on your phone: clock on and off, check and confirm your week, query a wrong shift, see your roster, ask for leave and set your kiosk PIN.
- Workers: pay setup and who clocks — Put everyone who clocks on onto the time clock (with or without a login), give them a PIN or badge, a roster, and pay & overtime terms that decide whether they must clock on and how extra hours are treated.
- Approve timesheets and export hours — Each week: check the grid, fix anything wrong, approve, download the Payroll hours CSV for your payroll, then lock the week. Approving freezes each day’s hours by band.
- Rosters: when each person is meant to work — A roster per worker (weekly or fortnightly, versioned from a date) drives workshop capacity, missed clock-on reminders, late and early flags, leave costs and overtime.
- Hours & overtime rules: ordinary time, overtime and penalty bands — Rule sets that sort each person’s hours into ordinary time, overtime tiers and weekend, evening and holiday bands for payroll. Start from a Vehicle Repair Award preset and adjust. Hours only, never pay.
- Trading hours, shutdowns and public holidays — Set the days and hours the shop is open, add shutdowns, and let BuildTrack add your state’s public holidays. They drive the workshop scheduler, booking links, Find a time, leave costs and holiday pay bands.
