Hours & overtime rules: ordinary time, overtime and penalty bands

Rule sets that sort each person’s hours into ordinary time, overtime tiers and weekend, evening and holiday bands for payroll. Start from a Vehicle Repair Award preset and adjust. Hours only, never pay.

Where it is

Settings for this

Hours & overtime (sidebar Team › People, or Hours & overtime rules on Workers) holds the rule sets that split hours into bands on Timesheets and in the Payroll hours CSV.

BuildTrack sorts hours into bands; it doesn't calculate pay and doesn't check your rules against an award. The presets follow the Vehicle Repair, Services and Retail Award 2020. Confirm them against the current award or your agreement on Fair Work.

Step by step: the first rule set

  1. Under Choose where to start, pick a preset:
  • Vehicle Repair Award — full & part time: overtime beyond the rostered day at 150% for 3 hours, then 200%; Sunday 200%, public holidays 250%; rostered weekend hours 150% / 200%.
  • Vehicle Repair Award — casual: casual loading in every band; overtime beyond 10 h a day or 38 a week; 2-hour minimum.
  • Simple 38-hour week: no weekend or holiday bands; overtime past 38 hours a week.
  1. Give it a Name ("Workshop — award"). The first set is the Business default.
  2. Adjust anything that differs (below) and press Save rules.

Until you save one, timesheets use the award's full-time rules.

What's in a rule set

  • Ordinary hours: Overtime is anything past the rostered day (rostered full and part-timers) or Overtime is past a daily or weekly limit (casuals, or no fixed roster). Ordinary hours a week, Most ordinary hours in a day, and Ordinary rate (casuals: 125%).
  • Overtime: First overtime tier lasts (hours, per day), First tier, After that, Sunday overtime, Public holiday overtime.
  • Weekends, holidays and evenings: Saturday, Sunday, Public holiday, Weekday evenings (with the times). Untick a band and those hours count as ordinary.
  • Flags (shown for a manager to check, never added to hours): Minimum engagement for casuals, Minimum Sunday / holiday overtime.
  • Clocking on: Late or early after (grace, 10 min) and Remind if not clocked on after (30 min; only for people who must clock on; they and managers get a bell).

Rates are percentages (multipliers) only.

More than one set

New rule set adds another (say, salespeople on their own agreement), starting from a preset. Each worker's Pay & overtime tab picks their set; anyone not set is on the default. Delete moves anyone on it back to the default.

When changes apply

Changes apply to days not yet approved. Approved days keep the hours they were approved with.
