Google and Outlook: busy time in, your calendar out

Connect your work Google or Outlook calendar so its busy time blocks booking links and Find a time, and subscribe to your BuildTrack calendar from your phone.

Where it is

Open Calendar and press Sync (on a phone: ⋯ › Sync calendars). The Sync with your calendar panel has two halves. Connections are per person: each staff member connects their own.

Block time you're busy elsewhere (in)

  1. Under Block time you're busy elsewhere, press Connect beside Google or Outlook, and sign in to your work account.
  2. Back in BuildTrack it shows Connected, the account, when it was last checked and how many busy blocks it found in the next 90 days.

BuildTrack only reads when you're busy, never titles, attendees or notes. That time shows on the Busy elsewhere layer, blocks your booking links, and counts in Find a time. It refreshes every 15 minutes, and again the moment a customer tries to book you. Sync now refreshes it on demand; Disconnect removes the connection and its busy time.

See BuildTrack on your phone (out)

  1. Under See BuildTrack on your phone, press Show my calendar address.
  2. Copy it, or press Add to Google Calendar or Open in Apple Calendar / Outlook.

It includes your meetings, the jobs you're on, your leave and shop closures, and keeps itself up to date. Google refreshes subscribed calendars every few hours; Outlook and Apple are quicker. It's read-only: change things in BuildTrack.

The address is a password. Anyone with it can see your calendar. If it leaks, press Make a new address: the old one stops working at once.

If something's not right

  • "Access removed" or "Not syncing": the sign-in expired or access was removed on the Google/Microsoft side. Press Reconnect. You also get a bell when a connection breaks, and booking links warn that a host "isn't syncing".
  • "Google and Outlook sign-in for calendars haven't been set up on the server yet": the Connect buttons aren't available for your business yet. The calendar address (out) still works.
  • The Integrations cards for Google Calendar and Outlook Calendar show your own status and open this same panel.
