Workers: pay setup and who clocks

Put everyone who clocks on onto the time clock (with or without a login), give them a PIN or badge, a roster, and pay & overtime terms that decide whether they must clock on and how extra hours are treated.

Where it is

Settings for this

Workers is everyone who clocks on: staff with a login, and people without one (contractors, labour hire, work experience). Sidebar Team › People, tab Workers.

Step by step: get everyone on

  1. Add all n staff puts every staff login on the time clock in one go.
  2. Add worker for someone without a login:
  • Name and Type: Employee, Contractor, Labour hire, Apprentice, Work experience, Volunteer or Visitor.
  • BuildTrack login: usually No login for contractors; pick their login if they have one, so their own clock and timesheet link up.
  • Supplied by: the labour-hire firm that bills for them (it must be a supplier). Their hours show against that firm on Timesheets.
  • Cost rate ($/h): what you pay for their time (only if you can see labour rates).
  • Usual hours a day, Starts and Finishes (they drop off the tablet after the finish date), Notes.
  • Press Add worker. It then opens their Roster.
  1. Kiosk PIN: press Set (or Reset), type 4 to 6 digits and Save. Tell them now: nobody can read it back. Five wrong tries lock it for five minutes.
  2. Badge: press Scan, click the box and scan the card.

A worker's three tabs

Click Edit (or the Roster or Terms cell) to open a worker:

  • Details: as above. Untick On the time clock to retire someone; their shifts stay on the record. Show inactive lists retired workers.
  • Roster: when they're meant to work. See Rosters.
  • Pay & overtime: their terms (below).

Pay & overtime (the terms)

  1. Employment: Full time, Part time, Casual, Fixed term, or Not an employee. Part time adds Agreed hours a week (hours past it are overtime even on a rostered day).
  2. Paid: Hourly, Salary or Not paid by us. Choosing Salary sets Doesn't clock on and No overtime; you can change both.
  3. Time clock:
  • Must clock on and off: reminded if they haven't clocked on after their rostered start; missed days are flagged.
  • Clocking is optional: clock-ons are kept, nobody is chased.
  • Doesn't clock on: rostered days count as worked. Typical for salaried staff.
  1. Hours past the roster: Paid overtime (banded ×1.5, ×2 by the rules), Time off in lieu (an hour at ×1.5 earns an hour and a half off) or No overtime (extra hours are recorded as "additional").
  2. Rules: the business default, or another set from Hours & overtime. Edit rules → opens them.
  3. Press Save pay & overtime.

Until terms are saved, clocking is optional and overtime uses the default rules.

BuildTrack doesn't hold pay rates or work out pay. Terms decide how hours are banded for payroll; your payroll system prices them. The only dollar figure is Cost rate ($/h), used to check labour-hire bills. A technician's cost for job costing is the Cost Rate ($/hr) in Settings → Workshop → Technicians.

Time clock settings (bottom of the page)

  • Record location when people clock on from their phone: off by default; the clock screen tells them when it's on. The tablet never records location.
  • Flag a shift still open after … hours (14): flagged for a manager, never closed automatically.
  • Suggested break on clock-off (30 min): offered once a shift passes five hours.

Who can do it

Seeing Workers needs See everyone's timesheets or Manage workers, PINs, balances, and lock exported timesheets. Adding and editing workers, PINs, badges, rosters and terms needs Manage workers…. The cost rate needs permission to see labour rates.

If something's not right

  • Can't pick a labour-hire firm under Supplied by? Add the firm as a supplier first.
  • Someone isn't in the Add all list? They're already a worker (check Show inactive), or they have no active staff login.
  • A technician's capacity looks wrong in the workshop? Once they have a roster here, Settings → Workshop → Technicians says "Hours come from their roster" and scheduling follows it.
