Service due: who to call next
Every vehicle with a service history, with the date it's next due, worked out from its own rhythm or kilometres. Call the ones due soon; send reminders automatically from Marketing.
Where it is
- Workshop → Service due
- Marketing → Automations → Templates — The Service reminder flow
Settings for this
- Settings → Workshop → Service due — The default interval: months and kilometres
- Marketing → Flows — A Service due flow sends reminders by itself; set Days before due
Workshop → Service due lists every vehicle with a service history or plan, and when it's next due:
- from its own rhythm ("every ~6 months (its usual)") once it has a couple of services;
- from its kilometres ("at 60,000 km (~45 km/day)") when its odometer readings and service plan allow;
- otherwise your default: every 12 months or 10,000 km unless you change it.
Each row shows the vehicle, the owner, the last service, a confidence, and 24-month spend.
The tabs
- To contact: due soon, overdue or lapsing, and not booked.
- Due soon: within 30 days. Overdue: past due. Lapsing: overdue by more than half its interval (at least 60 days): likely gone elsewhere.
- Booked: has an open job or booking. All.
Search by customer or rego, and click the customer to open their record and call them.
Send reminders automatically
Send reminders automatically opens Marketing. Use the Service reminder flow template in Marketing → Automations → Templates: it emails the owner two weeks before the due date and follows up a week later. In the flow, Days before due sets when owners are enrolled.
Change the default interval
The line under the heading shows your default. Change opens Settings → Workshop → Service due: set Every (months) and Every (km), then Save. Reset to default goes back to 12 months or 10,000 km. It applies to vehicles with fewer than two services and no service plan; the dates and the Service reminder flow follow it straight away.
Keeping it accurate
Completed service jobs and logbook entries build each vehicle's history. The check-in odometer updates the vehicle's reading, so record it on every check-in.
