Inventory

Products, categories, pricing, kits and packages, fitment and imports.

  • The Products list: find, filter and bulk edit — Inventory → Products is the master list of everything you sell: stock parts, labour, freight, external services and kits. Views, filters and bulk actions live at the top.
  • Create a product — Click + New Item on Inventory → Products and fill in the sections: Basics, Pricing, Stock & purchasing, Fitting, Vehicle fitment and Description. Owners and admins create straight away; everyone else submits for approval.
  • Everything on a product's page — Click any product to see its stock, prices, suppliers and history. Edit product changes its fields; the tabs hold the per-product settings: min/max, suppliers, price breaks, kits, specs, fitment, compatibility, variants and more.
  • Import and export products by CSV — Import / Export on Inventory → Products: export the rows and columns you want, edit them, and import them back. Rows match on SKU and only the columns you map are written.
  • Your range vs the supplier catalogue — The Products list opens on your range: the lines you stock, sell or order. Supplier feed lines you've never touched sit in the supplier catalogue, one click away, and join your range by themselves.
  • Product approvals: new items from staff and AI quotes — Products added by staff who aren't owners or admins, and AI-sourced lines on accepted quotes, wait under Products → Approvals until someone approves them into the catalogue.
  • Product categories: the list, merging and undo — Categories are picked from one list. Products → Categories merges duplicate spellings, renames, deletes and nests sub-categories, and every change can be undone.
  • Price tiers, price breaks and how a price is chosen — Every product has a retail price and optional Dealer, Trade and Franchise prices. A company's price tier decides which one its contacts pay; price lists, negotiated prices and quantity breaks can beat it.
  • Price lists and promotions — Products → Price Lists: time-boxed prices for all customers or one company that override tier prices while they run, then stop by themselves.
  • Compatibility rules and fitting alerts — Tell BuildTrack which products clash or need each other, and add fitting alerts. Quotes, packages, proposals, jobs and the AI quote warn; nothing is blocked.
  • Vehicle fitment on products — Tag products with the vehicles they fit so the product list, quotes, the dealer portal and Shopify can filter to parts that fit.
  • AI Fitment & RRP Audit — Sweep the catalogue with AI for missing vehicle fitment and pricing problems. Nothing changes until you approve it.
  • Kits and packages: which to use, and Build more like this — Kits sell several products as one SKU and one line. Packages drop a set of parts and labour onto a quote. Build more like this makes the same kit or package for other vehicles.
  • Kits & BOM: create a kit, build stock and auto-assemble — Make a kit on Products → Kits & BOM, add its components, then choose whether it sells from its own boxed stock or from what its parts can build.
  • Packages: vehicle packages, accessory and option blocks — Packages drop a priced set of parts and labour onto a quote, with sections, optional extras and choices the customer can pick from on the proposal.
  • Fitted Weights: what parts weigh on the vehicle — Record what each part weighs once fitted, and each vehicle's mass limits, so quotes can check a build against its GVM and axle limits.
  • Pack Sizes (AI): fill in packed dimensions and weights — Freight quotes need each product's packed size. Pack Sizes finds missing ones with Pack AI or web research, and you approve each before it is saved.
  • Product images and the AI Image Finder — Add images on a product's page, or let the AI Image Finder search supplier websites for products with none and approve what it finds.
  • Variants and superseded part numbers — Variants group sizes or colours of one product, each with its own SKU and stock. Succession records that one part number replaces another, so searches for the old one find the new.
  • Batch and serial tracking on a product — Turn on Track batch numbers or Track serial numbers on a product, and every receipt records them. The product's Batches or Serials tab shows what's on hand.
