Kits & BOM: create a kit, build stock and auto-assemble

Make a kit on Products → Kits & BOM, add its components, then choose whether it sells from its own boxed stock or from what its parts can build.

Where it is

Settings for this

Create a kit

  1. Open Products → Kits & BOM and click + New.
  2. Enter the Kit Name, SKU, an optional Description and the Sell Price (ex GST). Click Create Kit.
  3. Click + Add Component. Search for a part, labour item or consumable (filter with Parts, Labour or Consumables).
  4. Enter the Quantity. For labour, the quantity is hours. For a part, Labour Hours (to fit, per unit) defaults from the product and feeds job estimates; change it to override it for this kit only.
  5. Click + Add to Kit. Repeat for every component.

Shortcut: on any product, ⋯ → Create kit (or Create kit from this product in Edit product) makes a kit with that product as its first component. The SKU defaults to the product's SKU with -KIT on the end, and a blank price uses the components' RRP total.

Many kits at once: Import / Export → Import kit BOMs on the Products list takes a file of kit SKU, component SKU and qty. The kits and components must already exist as products. Each kit's components are replaced, so running a file twice changes nothing.

The kit page

  • The tiles show Material Cost, Labour Cost, Fitting Hours, Component RRP, Sell Price and Gross Margin.
  • Can Build Now shows how many kits the free parts make, and lists any Shortages. Labour lines don't count.
  • Bill of Materials: click a qty to change the qty, hours or notes. Click ✕ to remove a component.
  • Edit Kit changes the name, price, SKU, internal description and the Proposal Overview shown to customers on quotes.
  • Build more like this makes the kit for other vehicles. See Kits and packages.

How a kit holds stock

Two switches on the kit's own page (Components tab) decide this:

  • Can auto-assemble — show buildable stock: on counts what the components can build as available on the product, the list, the POS, quotes, Shopify and the dealer portal. On hand stays the kit's own stock. Off (the default) shows only the kit's own stock, so it reads out of stock unless kits are received as one SKU.
  • Can auto-disassemble — break into parts for other kits: on counts this kit's free stock towards other kits that share its parts, and breaks it into parts automatically when one of them is allocated or dispatched short. Off means its stock is only ever sold as itself.

The banner shows Buildable now, what limits it, and how many more could come from breaking other kits.

Build or break kits

On the Components tab, or Build / break kits in the Scan Centre:

  1. Choose Build kits or Break into parts.
  2. Pick the Warehouse and the number of Kits, and add a note if you like.
  3. Click Build N or Break N.

Building takes the parts from that warehouse's free stock and puts boxed kits on the shelf, costed at their parts. Breaking does the reverse. Recent lists past builds.

Freight for kits

A kit that ships as several cartons: tick Contains multiple boxes in Edit product and enter each box. When you add freight to an order, each kit line can ship as Separate cartons (its parts' sizes) or One carton (the kit's own size). See Create a product.

Who can do it

  • Kits & BOM shows on the Products menu with inventory.edit.
  • Build or break needs inventory.adjust.
  • Creating a kit from a product is for owners and admins.

If something's not right

  • A kit always shows out of stock: turn on Can auto-assemble, or build some with Build kits.
  • "The fitting time is recorded twice here": a part carries its own fitting hours and the kit also has a labour line. Clear one.
  • Build N is greyed out: pick a warehouse and enter a whole number of kits.
