BuildTrack Pro

Import and export products by CSV

Import / Export on Inventory → Products: export the rows and columns you want, edit them, and import them back. Rows match on SKU and only the columns you map are written.

Where it is

Settings for this

Everything is under Import / Export at the top right of Inventory → Products. It's on desktop only.

Export

  1. Optionally filter the list or tick rows first.
  2. Click Import / Export → Export CSV.
  3. Under Rows, pick Selected rows, Current filter or All products.
  4. Pick a Column preset (Standard, Pricing only, Stock levels, Vehicle fitment, Shipping or Everything), or tick the columns you want.
  5. Export.

Part Number and Name are always included so the file imports back. Columns marked (read-only) (stock on hand, bins, average cost, specs) are for reading; an import ignores them. Cost columns only show if your role has finance.view_costs.

Import

  1. Click Import / Export → Download template if you're starting from scratch.
  2. Click Import CSV and choose the file. A BuildTrack export and a Shopify product export are both recognised.
  3. Check the column mapping. Will create and Will update show what's about to happen, with sample SKUs.
  4. If the file has a stock qty, pick Opening stock for new products only (the safe default) or Update stock on hand, and the warehouse.
  5. Confirm. A message reports how many were created, updated, skipped or failed.

How rows are matched:

  • A row with a SKU updates the product with that SKU. A new SKU makes a new product, even when the name matches.
  • A row with no SKU matches on name, but only where one product has that name.
  • Partial update mode: only the columns you mapped are written. Everything else on existing products stays as it is.
  • Update-only CSV: without Product Name and Sell Price mapped, SKUs not already in your catalogue are skipped.
  • Vehicle Fitment column: each row's fitment is replaced with the cell (e.g. "Toyota Hilux 2015-2024 | Ford Ranger 2011-2022"). A blank cell keeps the existing fitment; "-" clears it.
  • Cost Currency and Cost (foreign currency): the cost converts at your Settings → Currencies rate, or at an FX Rate column if you map one.
  • Image URL fills the supplier image.

New rows from an import start in the supplier catalogue unless they carry stock. They join your range when you first stock, sell or order them.

Other imports

Under Other imports:

  • Import kit BOMs: turn existing products into kits from a file of kit SKU, component SKU and qty. See Kits & BOM.
  • Import part succession: old → new part numbers. Columns are from, to, interchangeable and note, by header or in that order.

For a supplier's price file you load again and again, use Integrations → Supplier price files instead: you map the columns once and it remembers.

If something's not right

  • "N rows failed": every other row still went in. Fix those rows and import just them.
  • A row was skipped: both Product Name and SKU were blank under the mapping, or it was an update-only file and the SKU isn't in your catalogue.
  • "Stock figures ignored": negative quantities, or the product is a non-stock type.
  • No Import CSV option: your role doesn't have inventory.edit.
