BuildTrack Pro

Compatibility rules and fitting alerts

Tell BuildTrack which products clash or need each other, and add fitting alerts. Quotes, packages, proposals, jobs and the AI quote warn; nothing is blocked.

Where it is

Some products can't be fitted together (a lift kit and a long-range tank that share a chassis mount). Some need something else on the quote (a bracket kit). Some carry a fitting note ("wheel must be 20 in minimum for tie-rod clearance"). Record these once on the product and every quoting surface warns.

Warnings never block. The salesperson can still add the line. The point is that nobody quotes a combination without knowing.

Add a rule, step by step

  1. Go to Inventory → Products and open the product the rule is about. For a clash, either product works: the rule fires whichever is added first.
  2. Click the Compatibility tab (in the Catalogue group, next to Fitment).
  3. Under Add a rule, choose the rule type:
  • Conflicts with: warn when both products are on the same document.
  • Requires: warn when this product is quoted without the other.
  • Fitting alert: a note shown whenever this product is quoted.
  1. For Conflicts with / Requires, choose what to Match: a product (search by name or SKU), any product in a category, or any product of a brand. Brand and category cover a whole family in one rule: "conflicts with any Titan product" instead of one rule per tank.
  2. For a Fitting alert, write the message. Tick Check a spec on the other lines to have BuildTrack test the wheel or tyre specs of the other lines, for example Wheel diameter ≥ 20 in. The alert then reads three ways on a quote: failed (a 17 in wheel is on the quote), a quiet note (no wheel on the quote yet), or silent (a 20 in wheel is there).
  3. Optionally write a Message: the reason, shown with the warning ("share the chassis rail mount").
  4. Optionally limit the rule to a make, model and year range. Leave it on Any vehicle for a universal rule.
  5. Click Add rule. Untick On to pause a rule without deleting it.

Where the warnings appear

  • Quote builder: the moment you pick a product in the add row, a Check fitment before adding line appears under it if it clashes with anything already quoted. A banner at the top of the quote lists every open warning.
  • Package editor: a banner above the components.
  • Customer proposal: a gentle note when the customer ticks optional upgrades that clash. They can still accept.
  • Workshop job → Parts: fitting alerts and conflicts for the parts on the job, so the technician sees "wheel must be 20 in" on the bay floor.
  • AI quote assistant: the rules are given to the assistant, so it never drafts a forbidden combination and adds required parts.

Franchise networks

Rules written by HQ apply on every franchise's quotes automatically (matched by product or SKU). Franchises see them on the product's Compatibility tab marked HQ and cannot edit them. They can add their own rules alongside.

Tips

  • Wheel and tyre specs come from the product's Specs tab (wheel diameter, width, offset, tyre size). A conditional alert can only check lines that have those specs filled in.
  • A rule for a category or brand matches the product's Category and Brand fields exactly (case doesn't matter), so keep those tidy. Merging categories on Products → Categories moves the rules with them.

If something's not right

  • "A product cannot conflict with itself": pick a different product.
  • "Pick the other product" / "Enter the category" / "Enter the brand": fill in what the rule matches.
