Getting started with BuildTrack
The setup checklist ticks itself off as you go: business details, products, customers, a first quote, Xero, messaging, your team and email. Here is the order that works.
Where it is
- Settings → Setup checklist — Every setup step, ticked off from real data
- Reporting → Executive — Shows a "Finish setting up" card until you're done
Settings for this
- Settings → Business details — Name, ABN, address, timezone, tax rate
- Settings → Modules & flow — Switch Workshop off if you never fit anything; what an accepted quote becomes
- Settings → Billing & plan — Choose a plan before the trial ends; add-ons
Open the Setup checklist (Settings → Setup checklist, at the top of the Settings menu). Each step ticks itself off when it's really done, whoever does it, so you can share the work around. A Finish setting up card also shows on Reporting → Executive until everything is ticked (press Hide to put it away).
The first time an owner signs in, a short Welcome to BuildTrack Pro window asks for the basics (business name, ABN, timezone, tax rate, invoice prefix) and offers to invite your team. Anything you skip is on the checklist.
The first week, in order
- Add your business details: Settings → Business details and your logo under Branding. These print on every quote and invoice. See Business details and branding.
- Decide how you work: Settings → Modules & flow. Switch Workshop off if you sell and ship but never fit anything, and choose what an accepted quote turns into. See Modules & flow.
- Add products or import your catalogue: Inventory → Products. Prices and stock flow from here. See Products.
- Set your labour rates (workshops): Settings → Workshop → Labour & pace.
- Add your first customer: CRM → Contacts. See Contacts.
- Create your first quote and send it for online approval: Sales → Quotes. See Create and send a quote.
- Connect Xero (or QuickBooks in the US): Integrations → Xero. See Xero.
- Turn on customer messaging so customers get booking, job-ready and pay-link texts: Integrations → Customer notifications. See SMS, calls and customer notifications.
- Invite your team: Settings → Invites. See Invite your team.
- Connect your email so emails log against customers: Integrations → Gmail. See Email.
Parts, warehouse and manufacturing businesses also see Connect your online store (Shopify) and Set up freight (Settings → Shipping & freight). New businesses on a trial see Choose a plan before the trial ends (Billing & plan).
Find your way around
- Press ⌘K (Mac) or Ctrl+K (Windows) anywhere to search pages, customers, parts, jobs, quotes and invoices. See Search and help.
- Press ? to open this Help panel. Contact BuildTrack support is at the bottom of it and in the avatar menu.
- Settings is in the avatar menu (top right). See Find your way around Settings.
- Put BuildTrack on your phone: Install on your Home Screen.
- The Academy (avatar menu) has short courses for each area.
If something's not right
- A step won't tick: it checks real records, not clicks. "Add your first customer" needs a saved contact; "Connect Xero" needs a live connection.
- The labour-rate step is missing: Workshop is switched off under Modules & flow.
- You can't open Settings: your role needs View settings. Ask an owner or admin.
