Email: connect Gmail and your own domain
Each person connects their own Gmail to send from it and log customer emails. Connect your domain once so BuildTrack's emails, customer links and portals use your own address.
Where it is
- Integrations → Gmail — Your own Gmail and email signature
- Settings → Your domain — Your business's sending domain and web address
Settings for this
- Integrations → Gmail → Email signature — Added below every email you send from BuildTrack
- Settings → Your domain — Email from your domain; links and portals on your web address
Connect your Gmail (each person)
- Open Integrations → Gmail.
- Press Connect Gmail and allow access in Google.
- You're back with Connected, your account and Last synced.
Then:
- Emails to and from your CRM contacts are logged on the contact's activity feed. Personal mail that doesn't match a contact is never stored.
- You can send and reply from customer records using your own address.
- It syncs every 10 minutes; Sync Now runs it straight away.
Your email signature
On the same page, Email signature is added below every email you send from BuildTrack. Use a Template (Classic, Minimal or Compact, with your name, title, phone, logo and social links), Paste from Gmail, or Plain text, then Save Signature.
Your domain (once for the business)
- Open Settings → Your domain.
- Enter Your domain (e.g. acmemotors.com.au) and a Web address for links and portals (e.g. go.acmemotors.com.au), then Connect.
- Add the DNS records shown at your domain provider. Each shows Done, Found, checking, Add or Fix. Press Check now (it also re-checks every 30 seconds while open).
When it's Verified and Live, quotes, invoices and marketing emails come from your domain, and customer links and both portals open on your web address. Needs Edit settings.
If something's not right
- "Reconnect to enable sending": your Gmail was connected read-only. Press Reconnect.
- "Session expired": press Reconnect Gmail.
- An email didn't log: the other person's address must be on a contact (from, to or cc).
- Domain stuck on "Waiting for DNS": DNS can take a few hours; check each record matches exactly.
