Vehicles & DMS

Buying, stocking and selling vehicles, consignment, taxes and the vehicle record.

  • Dealer Management (DMS): vehicle stock and sales — The Dealer Management add-on: vehicle stock, deals and contracts, consignment, logbook servicing, bookings and the statutory dealings register.
  • Buy or trade in a vehicle — Put a car on the books with Acquire vehicle: rego or VIN lookup, the seller, cost ex GST, asking price, photos and paperwork. Trade-ins come in from the deal.
  • Order a vehicle, or book in a customer’s car for a conversion — Give an incoming car a stock number before it lands, sell it early and receive it on arrival. Or book in a customer’s own car to track a conversion without it becoming stock.
  • Vehicle stock: cost, recon and pricing — Each stock unit’s page holds the car’s identity, photos, specs, workshop jobs, its full cost ledger, documents and a Ready to sell checklist. Recon jobs and purchase orders roll their cost into the unit.
  • Sell a vehicle: deal to delivery — A deal runs Quote → Under contract → Delivered → Settled. Name the buyer, price it (taxes, duty, on-roads, trade-ins, deposit), convert to contract, print and sign, run the PDI, Complete sale, then raise the tax invoice.
  • LCT, stamp duty and on-road costs on a vehicle sale — How a deal works out GST, luxury car tax, stamp duty and government fees, and where you keep the tables that drive them.
  • Take a deposit on a vehicle sale — Take deposit raises a deposit invoice to the buyer. Money received on it becomes the sale’s deposit and comes off the final tax invoice.
  • Consignment: sell a car for its owner — Hold a car for its owner: acquire it as Consignment, raise the agreement (reserve, commission, costs), sell it as agent, then settle, pay the owner and invoice your commission.
  • Dealer Management settings — Dealer Management → Settings holds what is printed on contracts and agreements (licence, state, notices, terms) and the Taxes & fees tables.
  • Service bookings and logbook servicing — Customers book on your public booking page; you confirm, then check them in to create the workshop job. Logbook Servicing finds a car’s schedule and raises a job card for the service that is due.
  • Dealer reports and the dealings book — Dealer Reports sums stock, sales, bookings and consignment for a period. The Dealings Book is the statutory record of every acquisition and disposal, printable and exportable.
  • Import OEM parts and ACES fitment — Load an OEM or distributor master-parts file (CSV, TSV or PIES XML) into your products, and import vehicle fitment from ACES XML.
  • A vehicle’s record: owners, warranty and compliance — Every vehicle has its own record that outlives any one owner: service history, who has owned it, the warranties it carries and claims made, and the approvals it was built under.
  • Vehicle approval packs (GVM plates and modification approvals) — Products that need an engineer (GVM plates, lifts, tyre size changes) ask for the VIN, make, model, year, approval type and photos on the order line. The pack travels from the sale to the supplier’s purchase order.
