Order a vehicle, or book in a customer’s car for a conversion
Give an incoming car a stock number before it lands, sell it early and receive it on arrival. Or book in a customer’s own car to track a conversion without it becoming stock.
Where it is
- Dealer Management → Stock — Order a vehicle and Book in customer vehicle are at the top.
Settings for this
- Settings → Workshop → Job types — Conversion, recon and PDI jobs use these job types. A hidden type can’t be used.
Both buttons are at the top of Dealer Management → Stock, beside Acquire vehicle.
Order a vehicle
For a car that is coming but not here yet, such as a factory order or an import.
- Press Order a vehicle.
- Vehicle: make and model (required), variant, year, colour, factory order number.
- Order: the Supplier (a contact), Supplier's order ref., Expected arrival, the Purchase price (ex GST, AUD) if you can see costs, the Asking price (inc GST) and Location on arrival. Tick Already shipped (in transit) if it has left.
- Allocation: optionally earmark it for a customer. The sale itself is still a deal.
- Press Create order unit.
The unit shows under the On order filter with an ETA chip (red once the date has passed). On its page:
- Mark in transit when it ships.
- Sell this vehicle starts a deal before it arrives. You can quote it and put it under contract.
- Receive vehicle when it lands: record the VIN, Rego, Engine No., Compliance date, Odometer and Received on, then Receive into stock. The purchase price is posted to the unit's cost, and the acquisition enters the dealings register that day.
An order unit can't be delivered to a buyer until it has been received.
Book in a customer's vehicle
For a conversion or fit-out on a car the customer owns. It gets a stock number to track the work, but it is not stock.
- Press Book in customer vehicle.
- Pick the Owner (required), then the make, model (required) and other details.
- Press Book in.
It never shows for sale, in stock value or in the dealings register. Find it with the Customer-owned ownership filter. On its page:
- New conversion job opens the workshop job. The customer is invoiced through that job's sales order and invoice.
- Conversion cost lists what the work has cost so far.
- Ready for collection when the work is done, then Mark collected when they take it.
If something's not right
- "Choose the customer who owns the vehicle": the owner is required.
- "Vehicle not yet received — receive it into stock before delivery": press Receive vehicle on the unit first.
- The Order and Book in buttons are missing: these parts of the stock book switch on once your account has been updated for them. Ask support if you need them.
