Buy or trade in a vehicle
Put a car on the books with Acquire vehicle: rego or VIN lookup, the seller, cost ex GST, asking price, photos and paperwork. Trade-ins come in from the deal.
Where it is
- Dealer Management → Stock → Acquire vehicle — Opens the acquire form.
- Dealer Management → Stock
- CRM → Contacts — The seller must be a contact first.
Settings for this
- Settings → Team → Roles — See cost of goods (COGS) controls who sees the cost on the unit afterwards.
Acquire puts a car on the books and gives it a stock number. Use it for a car you have bought, and for a consignment car (see Consignment). A trade-in is added from the deal instead (below).
Acquire a vehicle
- Open Dealer Management → Stock and press Acquire vehicle (or use Acquire vehicle on the Overview).
- Identify it. Type the Rego and press Look up rego, or type the VIN and press Decode VIN. Either fills only the empty fields; it never overwrites what you typed. Check the make and model read like a car, not a build code.
- Fill in Make and Model (both required) and anything else you have: variant, year, colour, body type, trim, odometer, engine number, build and compliance dates, factory order number.
- Source: Purchase, Trade-in or Consignment.
- Acquired from: search a contact. The dealings register needs a counterparty on every acquisition, so add the seller as a contact first if they are new (Contacts).
- Acquired: the date. It drives days in stock and the dealings register.
- Acquisition cost (ex GST): from a GST-registered seller, the price less GST. From a private seller, the full price. Typed an inc-GST figure? Press Take GST off.
- Asking price (inc GST): optional now, but an unpriced car can't be sold.
- Location: where it sits on the lot.
- Add photos, and pick a document type then + Document for the PPSR certificate, roadworthy, rego papers, odometer disclosure, service history or condition report.
- Press Acquire (or Acquire & upload 3). The unit's page opens.
If a file fails to upload, the car is still acquired. The form says how many failed; add them from the unit's Documents section.
Trade-ins
A trade-in is taken on a deal, not here:
- Open the deal in Vehicle Sales and press Add trade-in under Trade-ins.
- Enter the car, the Allowance, whether the Seller is GST-registered and whether a Tax invoice received.
- Press Add trade-in. The trade becomes a stock unit of its own, with the allowance as its cost, and the allowance comes off the contract balance.
Edit a trade-in to change its allowance: the contract balance and the trade unit's cost move together. Remove takes the allowance off the contract and withdraws the trade unit. Once a deal is delivered, settled or cancelled its trade-ins are frozen.
Other ways a car arrives
- Order a vehicle: a unit that isn't here yet.
- Book in customer vehicle: a conversion on a car the customer owns.
Both are on the Stock page: see Order a vehicle or book in a customer's car.
If something's not right
- "No rego-lookup provider is configured for this account": rego lookup needs a paid data provider. Decode the VIN instead, or type the details.
- Decode VIN is greyed: it needs at least 11 characters of the VIN.
- "Make and model are required": fill both before Acquire.
- Acquisition cost is greyed out: the source is Consignment. A consigned car has no cost basis; the dealer earns the commission.
- Overstated margin: the cost was entered inc GST. Fix it on the unit with an adjustment (see Vehicle stock: cost, recon and pricing).
