Dealer reports and the dealings book
Dealer Reports sums stock, sales, bookings and consignment for a period. The Dealings Book is the statutory record of every acquisition and disposal, printable and exportable.
Where it is
- Dealer Management → Reports
- Dealer Management → Dealings Book
- Reporting — Business-wide reports.
Settings for this
- Settings → Team → Roles — Stock value needs See cost of goods (COGS); gross margin and commission need See profit & margin %.
Dealer Reports
Open Dealer Management → Reports. Pick a period (This month, This financial year, Last 90 days, or your own dates).
- Vehicle stock (as at today, not the period): on the books, for sale, in recon, stock value at cost and average days held.
- Sales (over the period): open deals, delivered, Gross margin (ex GST) on your own stock only, and Agency commission (ex GST) from consignment.
- Workshop & bookings (live): open jobs, booking requests, confirmed, on the driveway.
- Consignment: payouts pending and the amount owed to consignors (not your money), plus a link to the dealings register.
Each block opens its list.
The Dealings Book
Open Dealer Management → Dealings Book. It is built from your stock and sales, so it can't disagree with them.
- Set the date range and choose All entries, Acquisitions or Disposals.
- Each row shows the date, the vehicle (make, model, year, rego, VIN, engine number), the counterparty with their address and ABN, and the value.
- Press Print for a paper copy or Export CSV for the electronic register.
An acquisition needs its counterparty: always fill Acquired from when you acquire a car. An ordered vehicle enters the register on the day it is received; a customer's own car never does.
If something's not right
- A counterparty is blank: open the stock unit and check who it was acquired from.
- Stock value or margin is missing: you don't have the cost or margin permission.
