Take a deposit on a vehicle sale
Take deposit raises a deposit invoice to the buyer. Money received on it becomes the sale’s deposit and comes off the final tax invoice.
Where it is
- Dealer Management → Vehicle Sales — Settlement section of a deal.
- Sales → Invoices
Settings for this
- Integrations → Stripe — Card payments on invoices: turns on Copy pay link for deposits.
- Integrations → Xero — Deposit invoices sync once approved; payments reconciled in Xero come back.
- Open the deal and set its Purchaser (a deposit invoice needs one).
- Under Settlement, type the Deposit requested (inc GST).
- Press Take deposit, check the amount and press Raise deposit invoice. It is raised as a draft (GST-free on an agency sale for a private consignor).
- Press Open to approve on the invoice row. Approve and send it like any invoice.
- When the buyer pays, press Record payment (cash or EFT), or let a payment reconciled in Xero come back. With Stripe card payments on, Copy pay link copies a link to send them.
The Invoiced, Received and Outstanding figures update as payments land, and Deposit received on the contract follows the money received. When you Create tax invoice at the end, the deposit already invoiced is deducted.
Good to know
- Complete sale asks first if a deposit invoice is still unpaid. It doesn't block: a deal can settle with the deposit collected another way.
- Older deals kept a typed deposit. That still shows, with the hint "Typed by hand. Take deposit below to invoice it instead."
- After the sale is delivered, settled or cancelled, Take deposit is gone.
