Service bookings and logbook servicing

Customers book on your public booking page; you confirm, then check them in to create the workshop job. Logbook Servicing finds a car’s schedule and raises a job card for the service that is due.

Where it is

Settings for this

Your public booking page

Dealer Management → Bookings shows Your public booking page link at the top. Copy link and put it on your website, in emails or texts. No login is needed.

Customers enter their name, phone, email, rego, make, model, the Service type (logbook, general, inspection, repair, other), a preferred date and time, and notes. Services you have ticked Bookable online in Workshop → Canned Jobs show as a menu with prices. Days offered come from real capacity: your trading hours and closures, technician hours less leave, and the work already booked. Nothing is offered before tomorrow.

Work the list

The tiles show Waiting on you (unconfirmed requests), In today, On the driveway and Confirmed ahead. Filters: Requests, Confirmed, On the driveway, Completed, Cancelled.

  1. Confirm a request. The customer is notified by whatever you have connected (Integrations → Customer Messaging); if nothing is connected, the message says none was sent.
  2. When they arrive, press Check in. It creates the workshop job (or finds the vehicle and owner) and marks them on the driveway. The job number links to the job.
  3. Cancel asks first. The customer isn't told automatically.

Logbook servicing

  1. Open Dealer Management → Logbook Servicing and type in Find a vehicle (rego, VIN, make or model).
  2. If it has no schedule yet, press Look up schedule.
  3. The Service schedule shows each interval as Overdue, Due soon, Upcoming or Done, with what is left by odometer.
  4. Press Create job card on the interval. The job opens with the service's operations and parts.

The banner says where the schedule came from. Manufacturer service codes and labour times need a data-provider contract; until then a clearly marked Generic Australian logbook is used. Check it against the owner's book.

If something's not right

  • "Confirmed. No message was sent": connect Customer Messaging to notify customers automatically.
  • No days offered on the booking page: check trading hours, technicians' hours and leave, and how full the workshop is.
  • Bookings missing from the menu: Bookings is part of Dealer Management; a workshop without it uses Workshop → Booking requests.
