BuildTrack Pro

Pick and put-away rules

Choose which bin stock is picked from (per warehouse, per category or per product), what each bin is for, and where deliveries are put away.

Where it is

Settings for this

Three things decide where stock is picked from and where a delivery goes: what each bin is for, the pick rule, and each pick face's min / max. Pick lists suggest bins by these rules, and dispatch takes stock out of the bins that were actually picked (then follows the rule for anything not scanned), so bin quantities stay matched to the shelf.

1. What each bin is for (bin role)

Edit a bin on Warehouse → Bin Locations and set its Role:

RoleUse it for
Pick face (default)Where pickers take stock from.
ReserveOverstock behind or above the face — tops it up.
BulkPallets and cartons in bulk storage.
StagingDock or packing area — never picked from.
QuarantineDamaged or on hold — never picked from.

Set a Walk position (1 = first stop) to fix the walking route; blank follows the bin's location in natural order.

2. The pick rule

Per warehouse: Manage → pencil → Pick from.

  • Fullest bin first (default) — fewest trips; how BuildTrack always worked.
  • Pick face first (kanban) — the product's own pick face, then other pick faces, then reserve and bulk.
  • Oldest stock first — the bin whose stock has been there longest (stock rotation).
  • Emptiest bin first — frees up bins and pallet spots.
  • Shortest walk — the first bin on the walk order.

Batch-tracked stock with expiry dates still goes soonest-expiry first inside a bin.

A whole category needs its own rule (for example oldest first for all fluids)? On Products → Categories, set the category's Pick from. Sub-categories inherit it; Warehouse rule means no override.

One product needs its own rule? Open it in Scan Centre → Lookup, and on the Picking card choose Pick from (this product). "The warehouse's rule" means no override.

Which rule wins: the product's own rule, then its category's, then the parent category's, then the warehouse's.

3. A product's pick face

On the same Picking card, click Set pick face and scan the shelf label it is picked from. Under Pick face first it is picked from first, and deliveries fill it to its max before the rest goes to reserve. Clear removes it.

4. Min / max and Replenish

  1. In Scan Centre → Bin, scan a pick face and click Set min / max. Min is when to top it up; max is how full to fill it.
  2. Scan Centre → Replenish has two lists. Short for open picks (choose the warehouse) shows the faces holding less than the pick lists already waiting need; top them up before the pickers get there. Below it, every pick bin below its minimum. Both offer Move N from (reserve bin). One click moves the stock. Reserve is used first, then bulk — never staging or quarantine. "No spare stock in another bin — reorder it" means it's time for a purchase order.

5. Put-away: where a delivery goes

When you receive, BuildTrack suggests bins in this order:

  1. the pick face (then other pick faces already holding it), filled up to its max — a face with no max takes everything;
  2. the rest into a reserve or bulk bin already holding the product;
  3. otherwise the first empty reserve or bulk bin on the walk;
  4. otherwise no bin — scan one.

Where you see it:

  • Purchase order → Receive Stock: Put away to the suggested bins (ticked) uses the line's planned bin, else the suggestion. Untick it to receive with no bin.
  • Scan Centre → PO intake uses the suggestion when you don't scan a bin.
  • Scan Centre → Receive shows Suggested put-away with Receive like this (split across bins) or Use (bin).

Batch- and serial-tracked lines go into one bin, because their labels can't be split.

Example: front and rear racks (kanban)

  1. Set the warehouse's Pick from to Pick face first (kanban).
  2. Make the front positions Pick face and the rear and overhead pallets Reserve.
  3. For each product, Set pick face to its front position.
  4. Set each face's min / max. Each morning, work down Replenish.

If something's not right

  • The pick list suggests a staging or quarantine bin. It never does — check the bin's role.
  • A line is split across bins. The face didn't hold enough; the pick list shows "+ 5 from R4-01". Top the face up.
  • No Pick from field. Offsite supplier warehouses have no pick rule — they're never picked from.
  • Can't set min / max or pick face. You need Edit products; Replenish needs Transfer between locations.
