Replenishment and demand forecasting

Reorder suggestions from your sales, last year's season, lead time and minimum order, checked by AI, turned into draft POs per supplier, plus everything below its reorder point or warehouse minimum.

Where it is

Settings for this

Purchasing → Replenishment has three parts.

1. Reorder suggestions

What to buy so you don't run out. It looks at your sales (a kit sold counts as its parts), last year's sales for the coming months, the supplier's lead time and minimum order, and stock on hand, held and on order. AI adds a one-line reason and how sure it is.

  1. Click Work it out (or Refresh now). Tick Refresh every Monday to have it done weekly. It uses a little AI, billed to your AI usage.
  2. Suggestions are grouped by preferred supplier. Each line shows sales per month, cover, available, the suggested Order quantity (and the MOQ), the value and the reason. Arrows mark products selling faster or slower lately.
  3. Change any quantity, dismiss lines you don't want, then click Approve → draft PO. One draft PO is created for that supplier. If it stopped half way, the button reads Finish draft PO.

Lines under No supplier set can't be ordered here. Link a preferred supplier on the supplier's Items tab.

2. Below minimum by warehouse

For products with per-warehouse Min / max (set on the product's Levels tab), each row shows what a warehouse needs. Move first (Move N from another warehouse) creates a draft stock transfer; Then buy (Buy N from the supplier) orders only what a transfer can't cover, delivered to that warehouse. See Transfers between warehouses.

3. Below reorder point

Every product whose stock is under its reorder point, with on hand, reserved, incoming, shortfall and the order quantity. Filter by supplier, tick lines and click Create PO for each supplier group, or use the button on one row. Set the reorder point and order quantity on the product's Edit → Stock & purchasing section.

Run it weekly and the "we ran out" conversations mostly stop.

If something's not right

  • "Nothing needs reordering right now": you hold or have coming enough of everything you've sold.
  • A product never appears: it has no sales history, no reorder point and no min/max.
  • Suggested quantity looks odd: check the supplier link's MOQ and lead time, and the reason and confidence on the line.
