Other ways to raise a PO: sales orders, jobs, products and Replenishment
Raise a PO straight from a sales order, a workshop job, a product or the reorder suggestions, so only what is short gets ordered.
Where it is
Settings for this
- Settings → Orders — "Draft POs for what’s short" raises draft POs for new sales orders by itself.
- Purchasing → Suppliers — A product's preferred supplier, supplier SKU and cost come from the supplier's Items tab.
Each of these creates an ordinary draft PO you can check, change and send.
From a sales order
On a sales order with lines not covered by stock, click Order missing (in the next-steps strip) or + Create PO (in the Purchase Orders panel). The Order Missing Items window lists only what each line still needs, after stock held for it and anything already on order. Pick a supplier per line (Set unassigned to… fills the blanks), then Create PO: you get one PO per supplier, linked to the sales order, so receiving it allocates the stock straight to that order.
External services (wheel alignment, powder coat) are listed separately with a contractor, drop-off and pick-up date. They become a PO that closes when you click Collected on the job (or Mark Collected on the PO). See External services.
Automatically for new sales orders
Switch on Draft POs for what’s short in Settings → Orders. Lines with no stock go onto a draft PO for their preferred supplier, one draft per supplier. Nothing is sent until someone sends it.
From a workshop job
On the job's Parts tab, click + Order Parts, pick the supplier and Create PO. Only the shortfall is ordered: not what is fitted, picked or held from stock, nor what is already on an open PO for the job. See Parts on a job.
From a product
On a product's page, the Reorder (or Order) button drafts a PO for the reorder quantity from its preferred supplier and opens it. It needs a supplier linked to the product. Set the reorder point and quantity on the product's Edit → Stock & purchasing section.
From Replenishment
Purchasing → Replenishment proposes what to buy and turns your approved lines into one draft PO per supplier. See Replenishment and demand forecasting.
If something's not right
- "Nothing to order": every line is held from stock or already on order.
- A line has no supplier: link one on the supplier's Items tab (tick Preferred supplier for this product) so it fills in next time.
- A kit: its parts are ordered, not the kit. See Raise, send and receive a purchase order.
