Traceability: batches and serial numbers
Follow a batch or serial from the supplier to the customer — for recalls, warranty claims and expiry — or see which batches went on an invoice.
Where it is
- Warehouse → Traceability
- Inventory → Products — A product’s Batches / Serials tab
Settings for this
- Product → Edit → Track batch numbers / Track serial numbers — Switches tracking on for one product. Default: off
Switch tracking on
Open the product from Inventory → Products, click Edit, and tick Track batch numbers (lots, with expiry) or Track serial numbers (one number per unit). The product then gets a Batches or Serials tab. Stock already on hand shows as having no known batch.
What changes once it's on
- Receiving (PO intake, Receive, the PO's Receive Stock) asks for the batch and expiry, or each serial, and can print labels.
- Picking records which batch or serial went out — scan it on the pick list. Leave it and dispatch takes the earliest expiry (batches) or the oldest in stock (serials).
- Tracked lines can't be Quick booked on the Dispatch board; scan them on the pick list.
- Inside a bin, expiry-tracked stock always goes soonest-expiry first.
Trace something
- Open Warehouse → Traceability.
- Type at least two characters of a batch, serial or invoice number.
- Pick a result:
- Batch — where it is now (warehouse, bin, qty) and its full movement history: received, moved, sold — with the document and the customer.
- Serial — its current location (or "Not in stock") and history.
- Invoice — which batches and serials went on it.
If the page says Batch tracking is being set up, it isn't on your account yet; nothing needs doing.
