BuildTrack Pro

Connect my BuildTrack Pro: linked POs with a dealer's own business

A dealer that also runs BuildTrack Pro links it to your portal: your catalogue and stock appear in their system, and orders become their purchase orders, kept in step both ways.

Where it is

Settings for this

Before a dealer can connect, switch on Data (API & feeds) in Setup → Features, and tick Data access (API & feeds) on the dealer's Data tab. The dealer must be Active.

Connecting (the dealer's Owner login):

  1. On the portal's Data page, press Connect my BuildTrack Pro.
  2. Sign in to their own BuildTrack Pro as an owner, admin or manager and confirm.

Your business is added to their Suppliers, with your catalogue and live stock as an offsite warehouse and their buy price as the purchase cost. Stock refreshes every 15 minutes and the catalogue every 6 hours. They can disconnect from the same page.

Orders, both ways

  • Ordering on your portal: at checkout they choose their business, and a purchase order is created in their BuildTrack Pro.
  • Sending a PO from their BuildTrack Pro: on a purchase order to you, Send to <your business> via BuildTrack Pro puts it on your portal as a dealer order.

Kept in step. The linked purchase order shows a Linked with <supplier> card:

  • When you approve the invoice, the PO is confirmed, and a draft bill goes to their Xero if they use it.
  • Dispatch, tracking and payments show as they happen, and a cancelled order cancels the PO.
  • Changes to lines or prices are applied and flagged until someone presses Mark reviewed.

Dealers on other systems use the same Data page for API keys and a feed URL (CSV or JSON). See their use on Setup → Usage.

If something's not right

  • The dealer has no Data page: Data is off in Features, or their data access is off.
  • "Your dealer account is waiting for approval": set the dealer's Status to Active.
