BuildTrack Pro

Customers

Contacts, companies, vehicles, deals, the Inbox and the customer portal.

  • Create and manage contacts — Add a customer (a person), find them again, and keep the list tidy: views, filters, columns, owners, tags and bulk actions.
  • Everything on a contact's page — A tour of a customer's record: the action bar, At a Glance numbers, Details, Marketing, Portal, the activity timeline and every linked quote, job, invoice and vehicle.
  • Customer vehicles: add, history, rego — Add a vehicle to a customer (rego lookup and VIN decode fill it in), then see its service history, owners, warranties and compliance on the vehicle's record.
  • Import contacts from a CSV — Upload a CSV of customers, decide what happens to ones you already have, and import them in three steps.
  • Merge duplicate contacts — Fold a duplicate record into the right one: their quotes, jobs, invoices, vehicles, timeline and portal login all move across.
  • Companies: accounts, price tiers, terms and credit — Companies are business accounts. Each has its price tier, negotiated prices, terms, credit limit and hold, and the people who order for it.
  • Deals pipeline — Track bigger opportunities through your stages, mark them won or lost, and turn them into a quote.
  • Deal workflows: automatic tasks and follow-ups — Rules that create tasks, schedule follow-ups, notify the owner or change priority when a deal moves, goes quiet, is won or is lost.
  • Lead recovery — Enquiries from the last few weeks that never became a quote, job or invoice. The AI picks the ones that looked like real work, values them and suggests what to say.
  • The Inbox: texts, website chat, Messenger and Instagram — Every customer text, website chat, Messenger and Instagram DM in one list. Reply, assign, add team notes, request payment or ask for a review.
  • Inbox settings: SMS number, phone, AI receptionist and auto-tasks — Turn on texting and choose your number, connect your phone system, and decide what happens when a new text, chat or DM arrives: contact, AI reply and follow-up task.
  • SMS and email consent: who you can message — Quotes, invoices, booking and job-ready messages go to anyone. Marketing (campaigns, automations, review invites) only goes to people who've opted in. STOP replies and bounces block everything.
  • Website chat widget — Put a chat bubble on your website, brand it, and let the AI receptionist answer. Chats land in the Inbox.
  • Email customers from BuildTrack with Gmail — Each person connects their own Gmail: emails with customers appear on their timeline, and Email on a contact sends from your own address.
  • Facebook & Instagram messages — Connect your Facebook Page and Instagram account so Messenger and Instagram DMs land in the Inbox.
  • Automatic customer texts and emails — Switch on the automatic messages customers get (booking confirmation, job ready, portal invite, review invite, quote reminder), choose channels and edit the wording.
  • The customer portal — Give customers a login to see their jobs, quotes, invoices, vehicles and the documents you share with them, approve quotes, pay and raise support tickets. Invite them from their contact page.
  • Custom fields on contacts and companies — Add your own fields (text, number, date, yes/no or dropdown) to contacts and companies. Fill them in on the contact's or company's page, or from a form.
