Deal workflows: automatic tasks and follow-ups
Rules that create tasks, schedule follow-ups, notify the owner or change priority when a deal moves, goes quiet, is won or is lost.
Where it is
- On CRM → Deals press Workflows, then New Workflow.
- Give it a Workflow Name.
- Trigger: When this happens:
- Stage Entered / Stage Exited: pick the stage.
- No Activity: enter the Days without activity.
- Follow-up Due: when the deal's follow-up date arrives.
- Deal Won / Deal Lost.
- Actions: Then do this (add one or more):
- Create Task: title, due in N days, priority.
- Schedule Follow-up: in N days.
- Notify Owner.
- Update Priority.
- Log System Event: writes a line on the deal's timeline.
- Leave it Active and press Create Workflow. Pause or edit it later from the list.
When they run
- Stage, won and lost rules run the moment someone moves the deal in BuildTrack.
- No Activity and Follow-up Due are checked on a schedule through the day. Each fires once per deal; it can fire again after the deal gets fresh activity or a new follow-up date.
The Suggested automations above the list are ideas to copy, built from the triggers and actions here. There's no "create a job" action. To start work from a won deal, convert it to a quote and follow Quote to invoice.
