Companies: accounts, price tiers, terms and credit

Companies are business accounts. Each has its price tier, negotiated prices, terms, credit limit and hold, and the people who order for it.

Where it is

  • CRM → Companies — + New Company, filters by tier, type, owner, state, group and on hold.

Settings for this

A company is a business you sell to: a trade customer, fleet, dealer or franchise. People are contacts linked to it, and its tier, prices and terms apply when you quote or sell to it.

Create a company

  1. Open CRM → Companies and press + New Company.
  2. Enter Company Name (required), and Industry, Phone, Email and Website if you have them. Press Create Company.
  3. On the company's page open Actions → All settings (the Edit Company form) to set up the account:
  • Account Type (Customer, Prospect, Partner, Vendor) and Status (Prospect, Active, Inactive).
  • Price Tier: Retail (RRP), Dealer, Trade or Franchise. Quotes and sales orders for this company use it automatically.
  • Account Manager, Industry, phone, email and website.
  • Account Terms: ABN, Payment Terms (e.g. Net 30 or EOM + 30: every new invoice for the company starts with these terms and the due date they give), Credit Limit (inc GST) and Currency.
  • Tax exempt: new quotes, orders and invoices carry no GST until the certificate's expiry date. Add the Exemption certificate no. and Certificate expires.
  • On hold (block new orders): see below.
  • Parent Company (to group a head office and its stores) and Default Warehouse (its orders and invoices open their pick list on this warehouse).
  • Billing Address, Shipping Address, Tags and Notes.
  1. Press Save Changes. The quick fields (name, tier, status, phone, email, website, terms, credit limit, tags, notes) can also be edited in place under Details → Edit.
  2. Your own company fields (set up in Settings → Custom fields) show under Custom Fields, below Details (on a phone, the Details tab). Click a value to edit it.
  • From the company: Create → Contact adds a new person already linked, or open the Contacts tab and use Link a contact (search, add an optional Position).
  • From the contact: Details → Edit → Account (company).
  • On the Contacts tab, the star sets the Primary contact. Remove from this account unlinks someone without deleting them.

Prices for this account

  • The Pricing tab shows the tier and lets you add Negotiated Prices (overrides). Search a product, enter the price (ex GST) and press Add. Overrides beat the tier for that product. See Price tiers.

On account, credit and holds

  • Credit available and Lifetime invoiced show on the company's page, with Owing on its At a Glance tiles (needs View invoices).
  • On hold puts a red On hold badge on the company and stops it ordering on account through the dealer portal. Your own staff can still raise documents for it, so check the badge.
  • Credit Limit stops dealer-portal orders on account that would take the balance over the limit. Staff documents aren't blocked by it.
  • There is no separate "cash customer" switch for staff sales. A customer without terms just pays each invoice as normal. For dealer companies, Can order on account is set in Dealer Portal → Dealers.

Statements

Actions → Statement (or the Statement link on Invoices) opens the account's statement with ageing, ready to Print / PDF. To email every company with an open balance a statement each month, tick Monthly Account Statements in Settings → Quotes & invoices. More in Customer statements.

The company page

Like a contact's page: an action bar (Note, Email, Call, Task, Meeting), At a Glance tiles (Owing, Open quotes, Active jobs, Contacts), the activity timeline for the company and everyone in it, and linked Contacts, Group, Vehicles, Quotes, Workshop Jobs, Sales Orders, Invoices, Deals and Tickets. Extra tabs in the middle: Contacts, Pricing and Attachments (contracts, credit applications, certificates, up to 20 MB each). On Attachments, Share to portal copies a file into the customer portal, and Shared with customer below lists what the company's portal logins can open. See Share documents with a customer. Actions has All settings, Statement, Copy email, Copy phone and Delete company.

If something's not right

  • A quote isn't using the trade price: check the company's Price Tier, and that the contact on the quote is linked to the company.
  • A dealer can't check out: the company is On hold, or the order is over its credit limit.
  • Can't delete a company: you need Delete CRM records.
