Customer statements and account balances
Print a statement of account for any customer or company, with aging; optionally email companies a statement every month.
Where it is
- CRM → Companies — Open a company → Statement.
- CRM → Contacts — Open a contact → Statement.
- Invoices → Outstanding — Tick Outstanding on the list for everything with a balance.
Settings for this
- Settings → Quotes & invoices → Monthly Account Statements — Email companies with an open balance a statement on a day of the month (1–28).
- CRM → Companies → Edit Company — Payment Terms (they set each new invoice's terms and due date), Credit Limit, On hold for each account.
Print a statement
- Open the customer or company. Press Statement (on the Invoices section, the Owing figure on a company, or Actions → Statement).
- Optional: set From and To to limit the period. Leave them blank for everything.
- Print / PDF.
The Statement of Account shows the opening balance, every invoice, credit note, payment, deposit and refund with a running balance, then aging: Current, 1–30 days, 31–60 days, 61–90 days, 90+ days. Unused credit notes show as Credit available, and deposits paid ahead of invoicing are listed separately.
Head office has the same statement for each franchise (on the franchise's account page), and a franchise sees its own account with head office under Purchasing.
Email statements every month
Turn on Monthly Account Statements in Settings → Quotes & invoices and pick the Send on day of month. Every company with an open balance is emailed its aging and open invoices that day.
Account settings on a company
Edit Company holds the account's Payment Terms (such as Net 30 or EOM + 30), Credit Limit (inc GST), Tax exempt and On hold (block new orders). Every new invoice for the company starts with its Payment Terms and the due date they give, and that due date drives aging, Overdue and reminders. Change them on one invoice with Terms in its Invoice panel. The company page shows what's owing against the limit.
Who can see it
Statements need permission to view invoices; the money on a customer page only shows to roles that can see it.
