Invoices & payments
Invoices, payments and pay links, credit notes, statements, Xero and GST.
- Create, approve and send an invoice — Raise an invoice from a sales order, quote, workshop job or customer, or start a blank one; approve it to issue it, then send it.
- Change, cancel or void an invoice — Drafts edit freely. Issued invoices change through Amend Invoice (password-protected if you set one), Amend from Quote or Substitute product; cancel drafts, void issued ones.
- Dispatch stock from an invoice — Stock leaves when the invoice is dispatched or collected — never when it is approved. The dispatch preview shows what ships, what stays on backorder and what the supplier sends.
- Take and record payments — Record full or part payments, apply deposits from the order, add a card surcharge, record refunds and write off rounding — Xero and QuickBooks follow.
- Take payment online: pay links and checkout links — Connect your own Stripe account, choose where customers can pay by card, then send pay links from invoices or checkout links from the POS.
- Customer statements and account balances — Print a statement of account for any customer or company, with aging; optionally email companies a statement every month.
- Chase overdue invoices: payment reminders — Turn on automatic reminder emails (before and after the due date) in Settings → Quotes & invoices, or send one by hand from the invoice.
- Backorders — Goods you couldn't ship stay on the invoice as a backorder. Find them all in Sales → Orders → Sourcing; dispatch the rest when the PO lands.
- Credit notes and returns to stock — Credit a customer for returned or mis-billed goods, put returned stock back on the shelf, and apply the credit to their invoices.
- Shipment tracking — Record the carrier and tracking number for each consignment, then email the customer the tracking in one click.
- Recurring invoices — A template bills the same customer on a schedule: it makes a draft invoice each time it falls due.
- Dealer returns and warranty requests — Dealers raise return or warranty requests in the dealer portal; you review them, receive the goods and issue the credit note here.
- Xero integration — Approved invoices and credit notes go to Xero; payments can go both ways; purchase orders go as draft bills. Set accounts, tax rates and tracking in Integrations → Xero.
- QuickBooks Online integration — For US businesses: approved invoices, customers, products, payments and credit memos sync to QuickBooks Online, with sales tax checked.
- Tax and GST on documents — Your business country sets the tax. Prices are entered ex GST and customer documents show inc GST; lines and companies can be GST-free.
- Quote and invoice settings: numbers, terms, bank details, look — Every setting that changes your quotes and invoices, and where it lives: Settings → Quotes & invoices, Branding, Business details, plus the ones outside Settings.
