QuickBooks Online integration
For US businesses: approved invoices, customers, products, payments and credit memos sync to QuickBooks Online, with sales tax checked.
Where it is
- Integrations → QuickBooks Online — Connect, pick the tax code, test, Sync now.
Settings for this
- Integrations → QuickBooks Online → Tax code — The QuickBooks sales tax code that matches your BuildTrack rate.
Connect
- Integrations → QuickBooks Online → Connect QuickBooks, sign in to Intuit and choose the company.
- If the QuickBooks company uses its own sales tax rates, pick the tax code that matches your BuildTrack rate. None matches? Add it in QuickBooks (Taxes), then Test connection.
- Check the warning if the QuickBooks company is in a different country from your business.
What goes across
- Approved invoices, with their customer and products, as you approve them. Changing an invoice updates it there.
- Each line as taxable or not, with BuildTrack's tax; if QuickBooks works out different tax, the invoice shows Tax differs.
- Tax-exempt customers as not taxable, with their resale certificate number.
- Payments recorded here, against their invoice (to Undeposited Funds). Deleting one here deletes it there.
- Credit notes as credit memos.
- Purchase orders as bills from each order's page (Send as bill), posted to Cost of Goods Sold. Bills need QuickBooks Essentials or higher.
- Payments made in QuickBooks against these invoices come back. One entered on both sides is matched, not counted twice.
- Anything that didn't go through is retried every hour; Sync now sends it straight away.
On the invoice
The QuickBooks panel shows Sent once approved, In QuickBooks, Tax differs, Sync failed or Not sent, with Send, Update or Retry (needs Approve invoices).
If something's not right
- "Sales tax isn't set up in this QuickBooks company" — set it up in QuickBooks (Taxes → Set up sales tax), Test connection, then Update each invoice.
- "QuickBooks needs reconnecting" — connect again from the QuickBooks page.
- Disconnect stops syncing; nothing in QuickBooks is deleted.
