BuildTrack Pro

Quote follow-ups and reminders

Three ways quotes get chased: automatic reminders to the customer (off until you switch them on), a morning hit list email for whoever closes them, and Deferred Work for upgrades they said no to.

Where it is

Settings for this

Who this is for: sales staff, service advisers and managers.

1. Reminders to the customer (off by default)

BuildTrack can nudge a customer who hasn't answered a quote: 2 days after it's sent, then once more 3 days later. It only chases quotes sent in the last 14 days, and stops as soon as the quote is accepted, declined or turned into an order.

Switch it on:

  1. Connect Customer Messaging at Integrations → Customer Messaging (the Connection tab).
  2. On the Automations tab, switch Quote approval reminder on and choose its channels (SMS, email).

Pressing Resend to Customer on a quote starts its reminders again.

2. The daily quote hit list (for your closer)

A morning email listing yesterday's quotes, with each customer's name, a phone number to tap and a link straight into the quote. On a Monday it covers the weekend.

  1. Open Reporting → Scheduled.
  2. Under Daily quote hit list press + New hit list.
  3. Set Send at, Send days, Only quotes over (leave 0 for all) and Send to (the closer). Save it. You can send a test from the list.

3. Work they said "not this time" to

Optional upgrades a customer left unticked when they accepted are filed on Deferred Work with a follow-up date. See Deferred work.

Quotes that run out

When a quote passes its Valid until date it moves to Expired by itself. Open it and press Renew & Resend to send it again (update the date and prices first).

Working the list yourself

On Sales → Quotes, the Sent tab is everything waiting on the customer and Changes Requested is everything waiting on you. Sort by value or by Valid until to see what to ring first.
