Supplier price files, supplier APIs and product images
Keep supplier prices, costs, off-site stock and images up to date: import a spreadsheet (by hand, on a schedule or from an email), connect a supplier's API, or match product photos.
Where it is
Settings for this
- Supplier price files → What to update — RRP, cost, off-site stock, new SKUs, fitment, GST, Shopify images
- Supplier price files → Daily email import — Import a file a supplier emails you, automatically
- Supplier APIs → Schedule — Stock every 15 minutes, full catalogue every 6 hours
Supplier stock arrives as off-site stock: dealers, franchises and your website see it as plain "in stock", and the supplier is never named.
Import a supplier price file
- Open Integrations → Supplier price files.
- Pick the Supplier and a Saved mapping (or New mapping…), then Choose file… (.csv or .json).
- Column mapping: match each column to a field. SKU (match key) is required; others include name, RRP, purchase cost, off-site stock, supplier SKU, image URL, barcode, brand, category, fitment tags and wheel and tyre specs.
- What to update (on by default unless noted): Update RRP / sell price, Update supplier purchase cost, Set offsite stock, Create new SKUs, Update vehicle fitment, Only create wheels that fit my vehicles or bolt patterns, Feed prices include GST (off), Push image URLs to Shopify (off).
- Press Preview, then Import feed. Keep the tab open until the upload finishes; the import then runs on the server. Save mapping keeps it as a feed for next time.
Saved feeds lists every feed with Use and Delete. Daily email import picks up a file a supplier emails you (needs a connected Gmail) and can Import every new email automatically.
Connect a supplier's API
- Open Integrations → Supplier APIs → Add a supplier API.
- Enter the base URL, authentication and API key, and the list paths.
- Test connection reads one page without changing anything. Auto-map fields, then check the mapping (SKU is required).
- Choose What to update and the Schedule (stock every 15 minutes and the full catalogue every 6 hours by default), tick Sync on this schedule and Save.
Supplier also on BuildTrack Pro? On their dealer portal open Data and click Connect my BuildTrack Pro; the feed appears here already mapped.
Product images
Integrations → Product images: upload an image export (.csv with URL handle, image URL, position and alt text). Images match on the web handle captured by a price-file import. Tick Overwrite products that already have an image to replace rather than fill gaps. Preview, then Import images.
Who can do it
All three need Edit settings.
If something's not right
- "Sync stock now" is greyed out: map the available-quantity field first. Sync catalogue now needs the SKU field mapped.
- New rows skipped: a new product needs a name and an RRP.
- Images unmatched: the Web Handle wasn't mapped on the price-file import.
