Head offices and stores, dealer types and changing many dealers at once
Put stores under a head office and choose who is invoiced, label dealers with a type, and change the tier, status, invoicing or switches for many dealers in one go.
Where it is
- Dealer Portal → Groups
- Dealer Portal → Dealers — Filter by group or type, tick, change
Settings for this
- The dealer’s panel → Details → Account group — Part of, and who invoices go to
A group is a head office with stores under it, such as a parts chain or an owner with several sites.
- Head-office logins see every order, invoice and return below them and can order for any store. A store's logins see only that store.
- Prices follow the account the person signed in to.
Make a group
- Groups → New group.
- Pick the Head office (a dealer you've already added) and tick the Stores to put under it.
- Tick Invoice these to the head office if it pays for its stores.
- Press Add N.
Or open a dealer → Details → Account group: Part of and Invoices for this account's orders go to (this account, or the account above). When the head office is invoiced, its on-account switch, hold and credit limit apply to the store's orders.
Each group shows Orders, Spend, Owing and Overdue, with Open and Add stores.
Dealer types
A label you make up, such as "Corporate store" or "Authorised dealer", set on the dealer's Details. Filter by it on Dealers and Groups, and give each a colour under Type colours. Only your team sees it.
Change many at once
On Dealers or Groups, tick accounts (filter by Group or Dealer type first). The bar shows N ticked. Choose Set status, Set pricing tier, Set invoiced to, Set can order on account, Set can drop ship, Set dealer type or Invite a login (company email), pick the value and press Apply to N (or Review invites…).
If something's not right
- A store sees head office's prices: the person signed in to the head office account. Store logins get the store's prices.
- A store's order was refused for credit: it's invoiced to head office, whose limit or hold applies.
