Return goods to a supplier

Send received stock back for a credit, a replacement or a warranty repair, ship it, and record what the supplier gave you.

Where it is

Raise the return

  1. Open the received PO and choose More → Return for Credit. (It is offered once stock has been received and not all returned.)
  2. Return for: Credit, Replacement or Warranty Repair.
  3. Enter the quantity per line, up to what was received less anything already returned. Add the Supplier RA # if they gave you one, a Reason and Notes.
  4. Save. The return opens as a Draft.

Ship it

  1. On the return, Print Docket for the box and Email Supplier to tell them it's coming.
  2. Click Ship Return, add the RA number, Carrier and Consignment Note # if you have them (they can be added later), then Ship & Remove Stock. Stock comes off your inventory and the return reads Shipped — awaiting credit.

Close it

When the supplier comes back, click the button for what you asked for:

  • Record Supplier Credit: their credit-note number, any Restocking Fee, and the date. The credit shows against the PO.
  • Mark Replacement Received or Mark Repaired Item Received: their replacement order or repair reference.

The return then reads Credited, Replaced or Repaired. A draft can be cancelled with Cancel Return.

Supplier Returns lists every return with tabs for Draft, Awaiting Credit, Credited and Cancelled. Returns also show on the supplier's Returns tab.

Not this one?

  • A customer returning goods to you is a credit note on their invoice. See Credit notes.
  • Goods coming back into stock from a customer can be scanned in the Scan Centre's Returns. See Scan Centre.
  • A franchise returning goods to head office: the return goes to head office, which credits it.

If something's not right

  • No Return for Credit in the menu: nothing on the PO has been received yet, everything is already returned, or it is a drop-ship order.
