Received, not billed: match supplier bills to deliveries

Every order where the supplier's bill doesn't match what arrived, or no bill is recorded yet, with the value of goods received but not billed.

Where it is

Open Purchasing → Received, not billed. It checks every order three ways: what was ordered, what arrived, and what the supplier billed.

  • Received, not billed (ex GST): the value of goods (plus freight) you have received with no bill amount recorded. Your bookkeeper's accrual at month end.
  • Billed more than received and Billed less than received: how many orders don't match.

Filter by state, then click an order number to open it. Each row shows when goods first arrived (flagged after 30 days with no bill), the received value plus freight, what was invoiced and the difference.

Clear an order from the list

Record the invoice amount on the order's Supplier Invoice card, or upload the invoice and let AI fill it. See Supplier invoices, bills and payments.

  • Invoice amount missing: the invoice number is in, but not the amount.
  • Billed more than received: chase the supplier for a credit, or receive the rest if it really arrived.
  • Billed less than received: often a part delivery billed in two invoices, or a price drop. Fix the line price on the PO if the invoice is right.

A difference up to $1 or 0.5% counts as rounding and is matched.
