Deposits, payment schedules and payments on an order
Set a deposit on the quote or order, bill it with a deposit invoice, record payments, or bill a long build in stages with a payment schedule.
Where it is
- Orders → All orders — Open the order
Settings for this
- Integrations → Stripe — Quote deposits paid by card on acceptance
- Settings → Quotes & invoices — Bank / Payment Details on deposit invoices; card surcharge
The deposit
Set it on the quote (Deposit under Quote Settings) and it carries to the order. A deposit the customer paid online when they accepted is already recorded. On the order, the money card shows Deposit required (click to change it), what's been received and what's outstanding.
- Bill it: Raise deposit invoice on the money card (or ⋯ › Raise Deposit Invoice).
- Record it: Record Payment in the header (or Record payment on the readiness strip). Enter the Amount, Payment Date, Method and Reference / Receipt #, then press Record Payment.
The final invoice takes any deposit invoice off as its own line, so the customer isn't billed twice.
Payment schedule (stage payments)
For a long build: ⋯ › Payment Schedule. Add stages (for example 30 / 40 / 30) as % of order or Fixed $, each with a name, when it's due, and optionally a workshop task. Press Save schedule. Each stage raises a progress invoice when it's due; the last stage is The balance (final invoice). A deposit invoice already raised counts as the first stage.
Seeing what's paid
The rail's Payments card lists every payment on the order and its invoices. Edit or remove a payment on its invoice.
