Landed cost and shipment costing
Spread freight, duty and other charges across an import shipment so stock is costed at what it really cost you, then reprice to your margin.
Where it is
- Purchasing → Costing Engine — Shipments & Landed Cost, Price File Import, Repricing Advisor.
- Products → Fitment & RRP Audit — Target margin rules (RRP & Pricing tab).
Settings for this
- Settings → Currencies — Fixed rates and bank margin used for foreign costs.
- Products → Fitment & RRP Audit → RRP & Pricing — Your default target margin % and per-category overrides (30% if none set).
The Costing Engine needs the See cost of goods permission.
Put an order on a shipment
On an import PO, the Landed cost card under the lines shows each line's supplier cost in AUD, its freight, duty and other charges, and the estimated and actual landed unit cost.
- Create shipment from this order puts every product line on a new shipment carrying the order's currency and rate. Or Add lines to shipment for an open one.
- If the shipment's rate drifts from the order's, both pages say so and offer to line them up.
Or start from Purchasing → Costing Engine → Shipments & Landed Cost → New Shipment.
Cost the shipment
On the shipment page:
- Lock the Currency and FX rate → AUD and the ETA.
- Add PO lines (search a PO, SKU or item, or + whole PO). Fill the weight and volume per unit for freight allocation.
- Add cost buckets: freight, duty, insurance, brokerage and so on, as an Estimate now and Actual (invoice) later. Choose how each is allocated (by value, weight or quantity, or a % of goods).
- Click Compute / Re-estimate. Each item gets an estimated landed cost, and stock received from then on is costed at it.
- When the real invoices arrive, enter them and click Update stock costs: on-hand stock is revalued and units already sold post a cost-of-sales difference.
Upload supplier invoice on the shipment lets AI read an overseas supplier's invoice, match its lines, estimate weights, duty and air or sea freight, and propose the landed cost for you to apply or discard. Duty rates are advisory; your broker confirms them.
Freight or broker invoice that arrives later
Add freight / customs invoice on the Costing Engine: upload the forwarder's or broker's PDF (include the import declaration and air waybill pages if you have them). AI reads the charges and which orders they cover. Tick the purchase orders, check how each charge is split (freight by weight, fees by value; GST is claimable, never landed cost), then Update stock costs. The PDF is filed on each order.
Price File Import (international)
For an overseas price list: pick the supplier, the File currency and FX rate → AUD, drop the CSV, map columns (AI auto-map helps with foreign headers) and import. It writes the buy cost and MAP/MSRP in AUD. For everyday local price files use Supplier feeds and price files.
Repricing Advisor
Generate suggestions prices each item at landed cost ÷ (1 − target margin), kept between the MAP floor and MSRP cap, with an AI reason. Approve or reject rows, then Apply N approved. Nothing changes until you apply. Set the target margin on Fitment & RRP Audit → RRP & Pricing: a default % and per-category overrides.
If something's not right
- Costing Engine missing from the menu: your role doesn't have See cost of goods.
- "Set the exchange rate on this order first": set it on the PO's Currency & exchange rate card.
- "No allocation yet": add lines and estimate costs, then Compute.
