QuickBooks Online (US)
For US businesses: approved invoices, customers, products, payments and credit memos go to QuickBooks Online, POs go as bills, and payments made in QuickBooks come back.
Where it is
Settings for this
- Integrations → QuickBooks Online — Connect, Test connection, Tax code for invoices, Sync now
- Open Integrations → QuickBooks Online and press Connect QuickBooks.
- Sign in to Intuit and choose the company.
- Back here, press Test connection. It reads the company's country and sales-tax setup.
- If the company uses its own sales-tax rates, pick the Tax code for invoices.
What syncs
- Approved invoices go as you approve them, with the customer and products. Tax is set per line; a difference with QuickBooks is flagged.
- Tax-exempt customers go with their resale certificate number.
- Payments go to Undeposited Funds; deleting one here deletes it there.
- Credit notes go as credit memos.
- Purchase orders go as bills with Send as bill on the PO (QuickBooks Essentials or higher).
- Payments made in QuickBooks come back.
- Anything that failed is retried hourly. Sync now sends up to 25 at a time.
Recent activity shows each send as Sent, Tax differs, Failed or Skipped.
Who can do it
Connecting and the tax code need Edit settings; Sync now needs Approve invoices.
If something's not right
- "Sales tax isn't set up in this QuickBooks company": set it up in QuickBooks (Taxes → Set up sales tax), press Test connection, then Update each invoice already sent.
- Country mismatch warning: check it's the right company before syncing starts.
- Reconnect needed: press Reconnect. Disconnect deletes nothing in QuickBooks.
