Why a price change waits for approval

Price changes queue for approval before reaching Shopify. Set a tolerance so routine changes go through and only big ones wait.

Where it is

Settings for this

Change a retail price in BuildTrack and it does not go straight to Shopify. It queues, so a bad cost import can't reprice your storefront.

That protection becomes a problem if nothing is ever approved: the queue grows and Shopify keeps showing the old prices.

Set an approval rule

  1. Open What we send → Price changes.
  2. On How price changes are approved, tick Approve small price changes automatically.
  3. Set Within … % and and within $ … (for example 10% and $50). A change must pass both. Leave one blank for no limit on it, but not both.
  4. Press Save rules.

Changes inside the rule are approved and sent within five minutes. Anything bigger still waits for you. Two kinds are always held:

  • A change with no previous price: there's nothing to measure it against.
  • A change that is exactly the GST amount (10% up, or about 9.1% down). That shape means a tax setting is wrong somewhere (here, in Shopify or in a price file), not that the price changed.

Approve the ones inside these rules applies the rule to changes already waiting.

Work the queue by hand

Filter by Pending, Approved, Pushed, Failed or Cancelled. Approve or Cancel a row, or Approve all pending (it skips GST-shaped rows). Push approved now sends approved changes without waiting; Retry failed tries failures again. The Shopify shelf column shows what Shopify shows today, and a changed in Shopify chip marks rows the daily check found were edited on Shopify's side.

The GST check

The banner at the top says GST check passed, look before approving or failed. It counts queued changes with the GST shape and compares BuildTrack's tax setting with your live Shopify store.

  1. If they disagree, press Fix the tax setting and correct it (see Shopify channel settings).
  2. Press Discard the N GST-shaped. The next daily check re-queues only real differences.

Show the N GST-shaped filters the list to those rows; Show all price changes clears it.

How prices are sent

Prices go out ex-GST or grossed up according to the tax setting. Shopify extracts tax from a tax-inclusive price rather than adding it on top, so that setting must match your store or every product is out by the GST amount. Sales and discounts you run in Shopify never change the BuildTrack price.

"Was" prices: under Settings, choose Off, MSRP or MAP for the crossed-out compare-at price. It's sent only when it's higher than the sell price, and cleared when it isn't. Off by default.
