Service and rego reminders

Switch on the starter Service reminder and Rego reminder, or build your own with the Service due and Rego expiring triggers. Dates come from each vehicle's history and its rego expiry.

Where it is

Settings for this

There's no separate reminders screen any more: service, rego and seasonal reminders are automations.

The quick way (every plan)

  1. Go to Marketing. Under Starter automations, press Switch on next to Service reminder and/or Rego reminder.
  2. That's it. Each runs at the daily check (about 7 am AEST).
  • Service reminder: two weeks before a vehicle's next service is due, email the owner; a week later, a final reminder.
  • Rego reminder: 30 days before rego expires, email the owner; 16 days later, a final reminder.

Where the dates come from

  • Service due: worked out per vehicle from its own service history and kilometres against its next interval. See the list on Workshop → Service due. Vehicles with no completed service jobs or logbook entries have no date yet.
  • Rego expiring: the Rego expiry date on the vehicle (open the customer's contact page and edit the vehicle). A rego lookup fills it in too.
  • The reminder goes to the vehicle's owner (the contact), by email, if they have an email address and email consent.

Change the timing or wording (Marketing add-on)

  1. On the starter automation press Edit, or create a flow from the Service reminder or Rego expiry reminder template in Automations → Templates.
  2. Click the trigger: set Days before due (service) or the days before expiry (rego). Service due can also pick up vehicles already overdue.
  3. Change the emails, add a Send SMS step, or change the waits. See Automations.
  4. Leave How often on Again, but not within a set number of days so a customer gets one reminder per service, not one a day.

Seasonal pushes (aircon before summer, diesel before winter): build a flow with the Days before a date trigger set to a fixed calendar date each year, sent to a segment.

Win back a dormant customer is a template that uses Service due for vehicles that have lapsed.

If something's not right

  • Nobody got one: is the automation On? Do the vehicles have a service history or a rego expiry date? Does the owner have an email and email consent? Check People on the flow.
  • Workshop → Service due is missing: it needs the Workshop module on in Settings → Modules & flow.
