Supplier payment reminders (COD / prepaid)

A daily email digest of unpaid purchase orders for suppliers with no credit terms, plus per-order supplier invoice tracking.

Where it is

Settings for this

Cash-on-delivery and prepaid suppliers hold your next order the moment a payment is missed. Reminders keep those orders in front of whoever pays the bills.

Turn it on

  1. Go to Settings → Purchasing and switch Supplier payment reminders On.
  2. Remind on these days: for example 1, 2, 3, or pick a preset (1 / 2 / 3 days, 1 / 3 / 7 days, Same day, 2, 5, Weekly ×4).
  3. Start counting from: When the PO is sent to the supplier (best for prepaid) or When the goods are received (best for true COD). The days count from there while no supplier invoice is recorded. Once an invoice is recorded, they count again from the invoice date while it stays unpaid.
  4. Watch suppliers with these terms: tick the payment terms to include (usually COD and Prepaid). Set terms on each supplier; see Add a supplier.
  5. Send the digest to: one or more email addresses, comma-separated. Leave it blank to use the company email.
  6. Click Save changes. Send test digest now emails today's digest using the saved settings.

The digest goes out each morning around 7:30am AEST.

On each purchase order

The Supplier Invoice card records the invoice number, the date it arrived, its due date and amount. Its badge reads Awaiting supplier invoice, Invoice received — unpaid, Overdue, Reminders paused or Paid. Anything past due is listed every day until it is paid or paused.

  • Pause stops reminders for that one order, for a disputed invoice or a credit arrangement. Resume turns them back on.
  • Recording a payment that covers the order (Supplier Payments → Record) ends reminders.

What the digest contains

Three groups: orders with no supplier invoice yet (chase the supplier), orders with an invoice in hand (pay it), and anything overdue. Each line links back to the PO.

If something's not right

  • An order is never included: its supplier has no Payment Terms, or the terms aren't ticked. The card says Supplier has no payment terms set.
  • The card says reminders are off: switch them on in Settings → Purchasing.
  • "Nothing would go out today" on a test: no order has hit a reminder day yet.
